LFA is now looking for a dynamic Office Operations Coordinator.

This crucial role sits within the
Operations team with key duties at Front of House, Office Management and Administration.

As the face of the LFA, situated at our entrance lobby, you will project a positive and welcoming initial experience for all who enter the building.

This role will also assist with supporting the Operations & Facilities Manager on various building related matters including Health & Safety, IT infrastructure and systems processes.


Requirements:


  • Provide a welcoming, warm and helpful first point of contact for all inperson visitors, students, tutors and staff.
  • Maintain the professional appearance of Front of House, and all public / communal areas, to reflect the core values of LFA and with reference to the LFA Health & Safety policy.
  • Assist with all IT queries (hardware / software), coordinate the entry signin process, with management of software and records.
  • Coordinate all incoming / outgoing post and maintain accurate and confidential postal records.
  • Assist in providing information to potential students regarding all courses offered by LFA.
  • Coordinate stationery and storage room inventories. Stock ordering to ensure LFA needs are met and offer value for money.
  • Coordinate LFA Library management, including stock, filing, subscriptions to publications and journals, and all orders from LFA including books and DVDs. Manage LFA Library facilities through use of relevant software platforms.
  • Coordinate the LFA room bookings notice boards, 'Welcome Board' and TV displays to ensure details are accurate and relevant.
  • Supervise the student Runner's programme, creating rotas and task lists to ensure they fulfil their programme objectives alongside coordinating resource requirements with other LFA departments.
  • Ensure the building is prepared for daily operational use with high standards of presentation and cleanliness within all classrooms, studios, production suites and communal areas, tending to any facilities requirements.
  • Engage with internal LFA processes and databases to ensure accurate recording of information, clarity of communication with all LFA teams, alongside the ability to produce constructive reports for consideration for Senior Management Team.
  • Support on sending and receiving equipment (e.g. courier bookings).
  • Be flexible and adaptable, tending to any adhoc operational tasks as and when they arise.
  • Be available for adhoc cover on some weekends / evenings, being point of contact for and coordinating with external contractors and building teams.

Essential:


  • Customer Service experience, working in a public facing environment.
  • Personable, approachable and friendly demeanour.
  • Strong problemsolving and multitasking skills.
  • Exceptional communication skills.
  • Good administrative ability.

Desirable:


  • Administration experience in the education sector.
  • Experience in hospitality and Front of House.
  • BA Degree in Film / Media or equivalent relevant work experience.
  • Operational and / or building facilities experience.
  • Sales experience.
  • Experience supervising staff.

Role Details:


Salary:
£25k - £27k per annum


Hours of Work:9am - 6pm, Monday - Friday + occasional weekends / weeknights, as and when required


Based:
LFA Headquarters, Walham Grove, Fulham, SW6
