Imperial Professionals are delighted to announce that we are working in partnership with a global engineering business who are recruiting for an Admin on a Permanent basis.

Job Purpose
To provide day to day administrative support to by undertaking a wide variety of business administrative duties supporting the Regional Team and ensuring all daily procedures run smoothly.
Responsibilities:
- Support the planning and communication with customers and engineers all repair works chargeable and FOC in line with regional process and relevant company procedure.
- Assisting in the creation and maintenance and repair schedules for engineers and despatch accordingly.
- Champion the maintenance the schedule of customer contracts and notify promptly the Regional Director/ Head of when contracts are potentially at risk
- Administer and maintain the callout rota including, planning day, night, weekend, annual leave call out and reserves.
- Ensure the timely update of Navision ERP system is accurately upto reflect job completions and support and the invoice tracker
- Assisting with client requests internal and external, including upload of worksheets where required and providing additional administrative support.
- Prepare reports and presentations with statistical data as and when required assigned.
- To assist the region with the preparation of tender documents, using the database of information to aid appropriate completion.
- Meeting external targets for Management Information submission to clients and overseeing the day to day production of this data.
- Explore potential for additional works whilst maximising sales opportunities for the Region by promoting additional divisions and service options
- Manage all day to day administration task including, incoming/outgoing mail, calls, queries for the Region and cascade as required.
- Liaising with purchasing team to ensure timely ordering of parts and equipment, ensuring purchase orders are raised in line with policy.
- Support the region with Travel and accommodation bookings in line with the Travel and Expenses Policy.
- Other administrative tasks as and when required and anything else reasonable required
- Liaising with subcontractor businesses to ensure the works are both compliant and completed in line with internal procedure, including correct goods receipting and close out of paperwork.
- Prepare and attend monthly regional meetings
- Assist in recording and close out of LOLER Reports.
- Support the regions management team with Toolbox Talks agenda and preparation
- Support ASRM with timesheet reviews as and when required.
- Support the maintenance of internal and external systems where required.
- Document production for internal and external meetings and attending when required.
- As and when required, update the Customer portals and escalate any issues to the regional management team
Skills and Knowledge:
- Experience working in a similar role
- Strong communication and presentation skills.
- Excellent Customer Service Skills
- Excellent document production skills.
- Excellent attention to detail, analytical and able to follow procedures
- Previous experience in a similar industry.
- Demonstrable commercial awareness
