The Opportunity


The Project Coordinator is responsible for supporting Project Managers in the delivery of what is often a large raft of projects, all the way from client order through hand over to delivery and on to completion, sign off and acceptance.

They work with many functions in the business (with a strong link into Block Finance and any 3rd parties we engage to deliver for customers), to ensure all project logistics and related processes run smoothly.

The Project Coordinator also has many PMO responsibilities such as ensuring an accurate invoicing forecast and supporting the Head of PMO in governance reporting.


Role Responsibilities

  • Supporting Project Managers in the delivery of projects from client order through to client acceptance; scheduling of project resources, arrangement of logistics (orders, deliveries and invoicing), project documentation, and arranging internal/external meetings
  • Working with assigned PMs to monitor project performance across the relevant portfolios of work, supporting the governance of projects ready for reviews with the Head of Project Management Office, working closely with the Project Managers to ensure compliance against process and best working practices
  • Attendance to project meetings either on site (Block or client) or remotely as required, with an expectation of 23 days per week on site with clients or the Block team (the remainder of the week being worked from home)
  • Managing regular PMO activities; project time reporting, client invoicing, internal project and PMO budget reporting.
  • Managing Intranet and Extranet sites for each Client/Project, ensuring documentation management and required audit materials are in good order
  • Management of change requests as directed by the project manager including liaising with 3rd parties for quotes etc
  • Interface with other teams within Block to ensure Projects are delivered to time, cost and quality
  • Management of small projects from inception to completion with mentoring support from senior team members, learning skills and experience through small projects for potential later career options as a project manager in the Block team
  • Contributing to the overall team performance through supporting Projects and PMs through pro actively managing potential issues as they arise.
  • Iteratively improving the project coordination through becoming an expert in this field, continuously improving the Project Coordination Manual and other relevant artefacts.

Skills, Knowledge &Experience

  • Previous experience of project coordination/project office management and small project leadership is desirable
  • Prince 2 and/or PMI Disciplined Agile certification (in whole or part completed) an advantage
  • 5 GCSEs A-C or above
  • Experience of working in a project management environment
