Personal Assistant - (Part-Time, 21 hours per week)

Location:
Fareham (other locations will be considered job holder will need to meet with team on a regular basis


The opportunity:

An exciting opportunity has arisen to join our Finance Operations Team as Personal Assistant/team administrator.

You will provide a full administrative service to one or more individuals, managing diaries, travel and organizing events including various other ad hoc tasks as required.

In addition, you will provide a variety of administrative support tasks to the wider team.

This role is available part-time or job-share.

This is because we want the best people for our roles, and we recognise that sometimes those people aren't available full-time.


Key Responsibilities:


  • Scheduling internal and external meetings/events for managers
  • Providing support at/on regular meetings; minutes, actiontaking and monitoring of these.
  • Handles/screens & priorities incoming communications, dealing with delegated topics as appropriate
  • Produces a variety of documents, mail and presentation materials
  • Provides administration support to Department & Senior Management Team including the organisation of presentations and the analysis and interpretation of information/data
  • Gets involved in the business activities of the manager by taking accountability for specific tasks.
  • Organises & coordinates business events, travel and accommodation
  • Handles work of a highly confidential and sensitive nature
  • Coordinate team events including charity activities and community events.
  • Act as a point for all Team communications overseeing distribution and quality.
  • Processes invoices, expenses and manages local procurement as required.
  • Manages records (inc SAP HR)
  • Team Access Management requests (provides cover)

Your skills and experience:


  • Previous experience in a senior administrator role/PA looking after multiple people and a large team.
  • Good standard of education
  • Proficient user of office software, e.g. Excel, PowerPoint & Word
  • Ability to filter information and assess priorities, looking to bring additional value to the team.
  • Ability to work and communicate effectively within a team and enjoy being a team player.
  • Good organisation skills; ability to multitask and organise others.
  • Ability to influence stakeholders and manage relationships effectively
  • Able to meet deadlines and work under pressure
  • Competent at prioritising & planning
  • Excellent communication and interpersonal skills
