The maintenance team must quickly turnaround our properties upon discharges and to keep the company's properties in a great condition (conducting reactive and planned maintenance).

This role will be imperative to help the maintenance operatives succeed.


Responsibilities:


Duties will include (but are not limited to):

  • Answering the phones in a courteous and professional manner. Directing the caller to the appropriate member of staff/department when you're unable to help
  • Taking deliveries
  • Organising deliveries of company property (e.g furniture)
  • Front of house duties, including a visitors' log for all on site visits
  • General administration (filing, scanning, data entry)
  • Manage vehicle maintenance and insurance for fleet of company vehicles.
  • Attend properties when required (e.g to facilitate an inspection)
  • Updating property certificate register & organise renewals prior to certificate expiry
  • Allocate tasks to the Maintenance team & keep internal stakeholders updated on outstanding maintenance at their properties:
  • Allocate tasks according to skillset & resource availability
  • Prioritise tasks according to location, resources & business demand
  • Manage the maintenance portal, adding jobs, chasing updates for o/s jobs and prompting colleagues to close keep their job list up to date. Remain highly responsive to queries related to maintenance jobs
  • Liaise with the relevant stakeholders to manage key and fob system
  • Compiling maintenance reports
  • Liaising with pest control and ensuring corrective actions are added to the maintenance portal and completed by the most suitable operative
  • Ensure fleet have first aid kits and claim cards
  • Research competitive prices for services and stock and make recommendations to management where there are opportunities for the company to get better value for money
  • Updating procurement register, purchasing stock & raising purchase orders
  • Manage stock control including inventory counts
  • Research staff training (as requested by your line manager)
  • Prepare tools, uniform, permits and ID badges as appropriate for new team members/starters
  • Vehicle inspections, accident reporting & collating vehicle condition reports
  • Prepare internal and external communications (including signs for our properties)
  • Ensure office is clean and tidy. Be responsible for any keys, fobs, permits or paperwork out of place in the office
  • Deal with and insurance queries
  • Ensure vehicle repairs are carried out quickly
  • Ensure that the vehicles go in for their regular service on time
  • Provide support or cover when necessary for the Operations Administrator as required
  • Perform any other duties, as assigned by management

£24,000.00-£26,000.00 per year
