Description
We are currently recruiting a Administrator for our manufacturing client based in outskirts of Swansea on a Permanent Contract.

Permanent Position

Salary £24,000pa

Hours 8.30am-5pm Monday to Friday


Working closely with the Operations Manager, Depot Manager and Production team.

  • Analyse current availability using tracking systems and performing physical checks for parts/stock
  • Liaise with production and planning to understand short and medium term material requirements
  • Liaise with Group logistics to review and adjust the purchase plan to meet depot needs that balance with Group needs
  • Raise purchase orders for products not contained within the purchase plan
  • Update
    SAP system
  • Divide and indicate to Group loads per day required to meet production outputs
  • Compare delivery notes against call offs for inconsistencies
  • Record products as arrived in appropriate tracking system
  • Coordinate and record inter Group transfers
  • Report stock levels and received deliveries to Group stakeholders
  • Inform production of Group stock shortages so that production activity can be rearranged to maximise efficiency
  • Compare unloaded products against delivery notes and inform Group of inconsistencies
  • Report product or loading issues including safety to Group
  • Record late deliveries in the appropriate system
  • Document and coordinate Group visits where trailers require quarantining due to safety and/or quality issues
  • Contact haulier companies and Group where haulier drivers to not follow our processes or procedures e.g. incorrect protective equipment, bad/rude behaviour to members on site etc.
  • Coordinate the removal of scrap from site
  • Photograph and document nonproductive scrap and send to finance department
  • Arrange the collection of nonproductive scrap with supplier
  • Record scrap that leaves site for traceability
  • Monitor productive scrap for inconsistencies
  • Compare group scrap collection reports against local records and notify group of inconsistencies
  • Coordinate general administrative activity
  • Liaise with the landlord to arrange general site maintenance e.g. grass cutting, pest control
  • Issue access fobs to staff and cancel when no longer employed
  • Issue lockers to operational staff and empty when no longer employed
  • Issue replacement or new starter Personal Protective Equipment (PPE)
  • Update
    SAP system
  • Monitor and order PPE to maintain availability
  • Coordinate the cleaning and repair of PPE
  • Contact providers to report PPE issues identified by wearer
  • Raise purchase requisitions
  • Goods receipt in full or part depending on the content of the delivery
  • Review query log to identify outstanding queries
  • Liaise with business users to understand discrepancies
  • Contact suppliers to query invoice discrepancies
  • Adjust purchase requisitions to accommodate acceptable changes
  • Maintain up to date information relating to each query within the query log
  • Liaise with finance department to ensure that purchase orders are posted against correct General Ledger codes when new goods or services are being ordered
  • Chase credit notes from suppliers for invoice queries when appropriate
  • Maintain records of projected orders and inform Finance of expected accruals
