    Devon and Somerset Fire and Rescue Service are looking for Fleet Administration Assistants to enhance our teams based at our Chelston and Crownhill Workshops.

    The following positions are available:

  • Chelston - Permanent Contract 37 hours per week
  • Crownhill - Permanent Contract hours per week
  • If you are the successful candidate, you will receive a salary of £ gross) per annum for full time hours. This equates to - if working hours per week.

    About the role:
    As our Fleet Administration Assistant (Workshops), you will provide comprehensive administrative support for the effective operation of the Fleet Maintenance Teams (Workshops) covering all sites with support from the Fleet Administration Team at Service Headquarters, as required.

    Key responsibilities of the Fleet Administration Assistant (Workshops):

    • To take responsibility for maintaining and updating databases and systems in relation to fleet, vehicles, equipment, and workshop requirements. Includes accurate and timely inputting and processing of data and taking follow up action where necessary.

    • To ensure safe and effective vehicles, equipment and workshop operations through reporting and management of data systems. Develop reports and documents for internal and external recipients either on own initiative or as directed.

    • To participate in a team-based environment at workshops and Service Headquarters and deal with day-to-day enquiries from internal customers and external suppliers with a customer focused attitude.

    • Provide administrative, systems support and effective running of fleet maintenance workshops with members of the team through the following tasks.

    • Accurately record all fleet, vehicle and workshop data including garage equipment testing and process to completion.

    • Raising Purchase Orders for fleet and workshop teams ensuring payments made to our suppliers are accurate and timely.

    • Planning and recording training, course and travel arrangements for team members.

    • Undertaking quotations for fleet and equipment parts and servicing and research information to secure value for money and that products are fit for purpose.

    • Monitor and maintain stock levels for vehicle and equipment parts and supplies.

    • Sending equipment for repair, returns and dealing with incoming post and parcels.

    • Contribute to continuous improvement working with the wider fleet management team.

    • To maintain security and confidentiality of information, whether computer based or otherwise, in line with legislation, especially the Data Protection Act, GDPR and Service policies.
