Description
We are currently looking for a Commercial Operations Administrator to join our team on a Fixed Term Contract.The Commercial Operations Team is primarily responsible for:
Managing the annual billing (annual entitlement) processes for customers to renew their software
Maintaining accurate records of customers licences and support in our Microsoft Dynamics 365 CRM system
Distributing software licences for SIMS and partner products, including upgrades, patches and licences.
Reporting to the Commercial Operations Team Leader, the individual will assist with planning and overseeing the SIMS annual entitlement process for schools/academies, Local Authorities that are billed centrally and the SIMS Support Units.
Work alongside the Commercial Operations Team Leader to assist with:Maintaining and cleansing the data within our Dynamics 365 CRM system and master records
Processing the returned annual entitlement (SIMS Direct/LA/SSU/MAT Save) quotes on the Dynamics 365 CRM system Dashboard
Working alongside our CRM development team to ensure that our processes run smoothly and efficiently
Process self-billing claim backs and academy refunds for local authorities and SIMS Support Units
Ensure that all customers are invoiced correctly on 1st March each year, including data checking and administer the distribution of invoices electronically
Deal with licensing, support, annual entitlement and invoice enquiries from customers and colleagues, working closely alongside Finance/Credit control, Contracts, Sales and Third-Party providers where necessary
Assist with customer online annual entitlement renewal portal queries to resolution, or escalate to appropriate support teams
Maintain instruction manuals, suggest process improvements and assist with the planning and implementation of new processes
Perform other duties as and when required to support the Commercial Operations Team and wider Commercial Department.
IT literate and proficient in Microsoft Office, specifically Excel, Word and Outlook
Confidence in the use of IT for business purposes
Experience of Microsoft Dynamics 365 or a similar CRM system
Experience of using SAP/Microsoft Business Central
Experience of Data analysis, cleansing and reporting
Commercial Operations Manager, Sales Enablement & Operations team, Sales, Contracts and Finance teams, Other departments within Education Software Solutions, Third-Party Software Providers
