About the Role:

Wootton Vale and Shortstown Surgery are looking for an organised, self-motivated and care-driven individual, with experience in primary care, to join our dedicated team as an administrator on a full time basis, providing full administrative support across a range of departments.

The successful applicant will be based at both of our practices:
Wootton Vale Healthy Living Centre and Shortstown Surgery.

The main responsibilities of the role include:

  • Undertaking a variety of administrative duties to assist in the smooth running of the practice.
  • Providing secretarial and clerical support to clinical staff and other members of the practice team.
  • Data entry and read coding of relevant patient information and medical data into the clinical system.
  • Scanning patient information into computerised records as necessary, including medical documents, hospital records and letters.
  • Retrieving paper notes as requested.
  • Photocopying documents as required.
  • Dealing with referrals to primary care.
  • Actioning tasks set by clinicians and the practice manager.
  • Reviewing and summarising medical records.
  • Registering new patients.
  • Covering reception as and when required.
  • Handling phone enquiries efficiently.
Some flexibility is required as you will sometimes need to work additional or alternative hours, to cover for colleagues.

  • Experienced in medical administration, with primary care experience desirable.
  • Excellent IT skills, including previous experience of Microsoft Office packages and patient information systems being desirable.
  • Adaptable, friendly and selfmotivated, with strong administration, timemanagement and organisational skills.
  • Excellent communicators, who work in a confidential and discreet manner and are able to think on their feet.
  • Able to multitask, work hard and maintain high level of attention to detail when under pressure. Able to work as part of a multidisciplinary team, as well as being comfortable working independently.

About Us:
Wootton Vale and Shortstown Surgery are established practices, just outside Bedford, with a patient list size of 14,500.

Our main site is in Wootton and we have recently merged with the surgery at Shortstown, which is now a branch site.


Our practice ethos is to provide traditional levels of patient care and friendliness, through innovation supported by the latest technology.

We work closely with our community partners and with the other GP practices within our primary care network.


Our staff comprises:

  • 1 GP partner,
  • 4 salaried GPs,
  • A multiskilled nursing team, including nurse prescribers, 2 practice nurses and a trainee nurse associate
  • 2 clinical pharmacists and a pharmacy technician
  • Dedicated management, clinical support, administrative and reception teams.
