    Job summary

    The post holder will provide a high standard secretarial service to the Safeguarding Midwifery Team. They will ensure effective and efficient maintenance of the admin systems, processes and procedures and will supervise and co-ordinate the workload of the administrative team.

    Main duties of the job

    To provide a high standard secretarial service to the Named Midwifery Lead for Safeguarding & the Team Leader(s).

    Ensure referral processes into the team and to external agencies operate smoothly and efficiently.

    To ensure standard operational procedures (SOP's) for the Administrative Team, are robust and reviewed regularly in conjunction with the Team Lead(s)/Service Co-ordinator.

    Ensure activity data is collected accurately by all members of the admin team to facilitate collation of stats when required (including quarterly and end of year reports).

    To ensure patient-sensitive information is recorded/documented in a timely and accurate manner by the administrative team, as per SOP's.

    Supervision of the admin team including sickness absence, training and appraisals, escalating any areas of concern to the Service Co-ordinator in a timely manner.

    To provide ongoing training, guidance and support to the Administrative Team.

    To liaise with external agencies across the city including Social Care, in conjunction with the clinical team.

    Effectively manage the diary of the Safeguarding Midwifery Team, the Named Midwife for Safeguarding, and the Duty Managers. Without prior consultation, anticipate variations and resolve conflicting appointments.

    The post holder will be required to be flexible to meet the needs of the service. This may include extended working hours on occasion.

The maternity unit has over 5800 births per year and is a Regional Tertiary Maternity Service with a Level 3 Neonatal Unit of 44 cots. A tertiary Gynae-Oncology service and a changing Gynaecology Service, which includes an Assisted Conception Unit, complete the services within the Directorate.

    Essential

  • Educated to GCSE standard (or equivalent) including English Language at grade C/4 or above (or equivalent)
  • OCR II typewriting/word processing qualification (or equivalent demonstratable experience)
  • Level 3 Diploma in relevant subject Business Administration or Health and Social Care (equivalent demonstratable experience)
  • Desirable

  • NVQ/A Level Business/Administration or equivalent
  • ECDL
  • Experience

    Essential

  • Relevant experience in a secretarial/PA role
  • Knowledge of Microsoft Office packages, including Excel
  • Previous experience working in a safeguarding environment
