    Job summary

    We are looking to recruit a new member of our Care Navigation/Reception Team at Borth Surgery. We are a busy community GP Practice, with 3 GP's assisted by a number of additional Health Care professionals, and offer a number of vital services to our local community.

    We are looking for someone enthusiastic, compassionate, conscientious and flexible. Whilst previous experience would be an advantage, it is not a necessity as training will be given.

    Main duties of the job

    The main duties are:-

    Tobe responsible for undertaking a wide range of reception duties and theprovision of general support to the multidisciplinary team. Duties can include but are not limited to, greetingand directing patients, effective use of the appointment system, bookingappointments, processing of information and assisting patients asrequired. To act as the central point ofcontact for patients, the distribution of information, messages and enquiriesfor the clinical team, liaising with multidisciplinary team members andexternal agencies such as secondary care and community service providers.

    About us

    We provide care for around 2,700 patients in Borth and the wider community and our patients' care and welfare is at the heart of our practice. In addition to our GP's we also have a Physician Associate, an Advanced Nurse Practitioner, Practice Nurse, Advanced Practitioner, HCA all supported by the Admin and Reception teams.

    We are also a training practice, and therefore there are always a few students in residence at any one time.

    We are a very supportive team and work together well to achieve the best outcomes possible for our patients and to ensure staff welfare is at the centre of our organisation.

    Job responsibilities

    Thefollowing are the core responsibilities of the receptionist. There may be onoccasion, a requirement to carry out other tasks; this will be dependent uponfactors such as workload and staffing levels:

    a.Maintainingand monitoring the practice appointment system

    b.Processpersonal, telephone and e-requests for appointments

    c.Answerincoming phone calls, transferring calls or dealing with the callers requestappropriately

    d.Signpostpatients to the correct service

    e.Initiatingcontact with and responding to, requests from patients, team members andexternal agencies

    f.Readcode data on Vision/Emis

    g.Photocopydocumentation as required

    h.Dataentry of new and temporary registrations and relevant patient information asrequired

    i.Inputdata into the patients healthcare records as necessary

    j.Directrequests for information SAR, insurance / solicitors letters and DVLAforms to the clinical team for completion and maintain the register ofrequests#

    k.Processand distribute all internal and external post

    l.Manageall queries as necessary in an efficient manner

    m.Processvarious forms and distribute as necessary

    n.Carryout system searches as requested

    o.Maintaina clean, tidy, effective working area at all times

    p.Monitorand maintain the reception area and notice boards

    q.Supportall clinical staff with general tasks as requested including requests via MailManager and Docman

    r.Registrationof new patients and deduction of patients leaving

    s.Monitoremail accounts for prescriptions and enquiries, signpost and respond asnecessary

    t.Undertakee-learning and other relevant training provided

    u.Receiveand process urine, stool and sputum samples to relevant clinician

    Inaddition to the primary responsibilities, the medical administrator may berequested to:

    a.Partakein audit as directed by the audit lead

    b.Supportadministrative staff if necessary and provide cover during staff absences

    c.Completeopening and closing procedures in accordance with the duty rota

    d.Asrequired support the Prescriptions Clerk in the management of repeat prescriptions,ensuring they are processed accurately and efficiently

    e.Monitoringof stationery supplies

    Hours are as follows:-

    Wednesday 8 am until 2 pm

    Thursday am until 2 pm

    Friday am until pm

    Additional hours may be available to cover staff sickness/annual leave
