    Job summary

    We are seeking to recruit a part time (30 hours) Facilities Services Admin Support within our General Office cross site.

    The successful post holder will provide admin support to car parking at CHFT, dealing with permits, ANPR, Park and Ride.

    We are looking for a friendly, well organised and motivated individual.

    Summary of the role:

    To assist with the day to day operational administration of Facilities Management services, therefore flexibility is an important compotent of the post.

    To ensure service delivery and staff information is managed efectively, accurately and that all databases are kept up to date and available.

    Job responsibilities

    Key Responsibilties:

  • Ensure that confidentiality is maintained at all times, only releasing confidential information during the course of employment to those acting in an official capacity and where appropriate.
  • To provide admin support to car parking at CHFT, dealing with permits, ANPR, Park and Ride
  • To provide general office and administration support to Facilities services.
  • Answer telephone calls in a polite and professional manner, taking accurate messages where appropriate for onward transmission or redirecting to other departments.
  • To carry out general office duties such as data-entry, photocopying, laminating, scanning and shredding.
  • To support the teams to maintain accurate, timely and legible records.
  • Attend and take part in team meetings and regular reviews with the line manager(s).
  • To maintain the filing system, including e-filing, for the departments. Ensure the security and confidentiality of all records.
  • Deal with incoming/outgoing mail/email for the departments, distributing and re-directing post accordingly and ensuring outgoing mail is dispatched to the central distribution point.
  • Be able to input/extract data, using relevant electronic software. To be able to manipulate data and generate basic evaluation reports.
  • To maintain promotional materials using relevant software, keeping it up to date and accessible.

  • Familiar with Microsoft office
  • Basic keyboard skills
  • Good organisational skills, ability to priortise and organise own workloads
  • Good verbal and written communication skills
  • Able to complete allocated work within agreed timescales
  • Ability to deal with a wide range of people across all levels of the Trust and external to the organisation
  • Demonstrate self-moviation
  • Ability to learn new skills
  • Must be able to pay attantion to detail and ensure work carried is accurate

  • Experience of using computer systems

  • Good standard of education preferably to GCSE standard or equivalent
