Description

  • Responsible for the daily running of the office and supporting the business management function to ensure the office is maintained for all internal and external visitors.
  • Attending key meetings and undertaking follow up actions/projects as appropriate monitoring delivery by others, challenging and securing agreement to take on actions, briefing others and reporting back as necessary.
  • Working with other directors/staff in the achievement of outcomes from such meetings.
  • Support communication between the Director and internal and external stakeholders as required, build and maintain positive working relationships within and outside the Trust to support the effective functioning of the Director in support of the deliveryof their objectives.
  • Maintain contact and liaison with the Director's direct reports and their directorates.
  • Actively monitor resources against agreed budget and address any problems as they arise
  • Actively monitor and support the desk booking system to support colleagues and visitors as required
  • Oversight and management of incoming and outgoing correspondence, ensuring actions are taken and tasks completed.
  • Line Management duties to the Business Support Officer(s). Assigning individual projects and supporting the team to ensure there is a balanced workload amongst individuals.

  • Previously worked and had line manager experience.
  • Have worked with high level directors
  • Can work under pressure with strict deadlines and dealing with complaints and KPI's
  • Organisational and time management skills
  • Can develop and maintain key relationships
  • Ability to discuss sensitive matters with stakeholders
  • Excellent telephone manner
  • Very well developed oral and listening communication skills
  • Should be computer literate and fully familiar with Microsoft Office packages (particularly PowerPoint) or demonstrate the ability to learn other packages or databases as required
