HR Operations Administrator - FTC


Asahi UK are currently looking for a HR Operations Administrator to join our high performing team on an initial 6 month FTC.


The HR Operations Advisor executes the administrative and transactional HR services for AUK, AEI and Asahi Premium Brands UK based employees, managing the new starter process, ensuring accuracy of the HR system for all employees and inputting data for payroll, whilst also providing assistance with Asahi UK onboarding process.


  • HR administration of appr. 700 employees
  • Employee lifecycle support & administration.
  • HR master data maintenance, reporting and analytics.
  • Involvement in supporting key projects within HR Operations.

Key Accountabilities
The HR Operations Administrator is responsible for the following key outputs and accountabilities:

  • New starter administration to include preparation of contracts, relevant documentation for all employees and necessary onboarding processes.
  • Produce all paperwork required by the team linked to employee joiners, movers and leavers, including life cycle events.
  • Inputting data into the HR system for joiners, movers and leavers
  • Manage the new starter, leaver and mover trackers, ensuring necessary documentation is received, checked and shared with other departments, as appropriate.
  • Maintenance of all the data on the Success Factors HR and Ceridian Payroll systems
  • Cross checking of monthly payroll system entries and reports
  • Management of the Employee Self Service system ensuring employees have the necessary access and correct information
  • Maintain the HR Operations in box with adhoc requests and queries from all employees e.g. payroll queries, holiday system, payslips
  • Benefits administration for all employees linked to joiners, movers and leavers, for all UK based Asahi employees, with external providers.
  • Maintenance of all employee files
  • Track progress for mandatory Company training e.g. competition law, GDPR, Antibribery
  • Liaising with Facilities regarding extension of building access for employees and temporary staff
  • Purchase order and invoice administration
  • Maintenance of HR internal intranet pages including training, benefits, policies and org charts
  • Support Senior HR team members as and when required

Experience Required

  • Any experience working with EC Success Factors or Ceridian will be extremely desirable
  • Experience in a fastpaced HR administration/coordinator role
  • The ability to prioritise and manage a large number of tasks
  • Outstanding attention to detail
  • A high level of confidentiality, integrity and trust
  • Ability to communicate with staff of all levels
  • Capacity to work within tight deadlines and a sense of urgency
  • A good command of the English language and grammar, together with good writing skills
  • Highly collaborative, team orientated mindset
  • Proficiency with MS Office and Outlook; proven experience with HR Systems
  • Excellent interpersonal and communication skills
  • Selfmotivated and able to adapt to a fast paced and changing environment
