Position Summary:


As a Maintenance Coordinator Administrator, you will be responsible for supporting the maintenance coordination team and ensuring the smooth operation of our maintenance processes.

Your primary role will be to handle administrative tasks, maintain accurate records, and assist with coordinating maintenance activities in Irvine.

Your efficient and proactive approach will contribute to delivering high-quality service to our clients.


Responsibilities:


  • Assist the maintenance coordination team in scheduling and coordinating maintenance requests, repairs, and preventative maintenance activities.
  • Act as a central point of contact for internal and external stakeholders, ensuring effective communication and timely resolution of maintenance issues.
  • Maintain accurate records of maintenance activities, including work orders, invoices, and warranty information.
  • Coordinate and track the progress of maintenance projects, ensuring they are completed within designated timeframes.
  • Liaise with vendors, contractors, and suppliers to obtain quotes, negotiate pricing, and ensure the timely delivery of services and materials.
  • Manage maintenancerelated documentation, including contracts, permits, and compliance records.
  • Assist in the preparation of reports and presentations related to maintenance activities.
  • Conduct regular inspections of properties to identify maintenance needs and assist in coordinating necessary repairs.
  • Maintain and update the computerised maintenance management system (CMMS) with accurate and current information.
  • Support the development and implementation of maintenance strategies to improve efficiency and customer satisfaction.

Qualifications and Requirements:


  • Previous experience in an administrative role, preferably in a maintenance or facilities management environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Strong attention to detail and problemsolving abilities.
  • Proficient in using computer software and systems, including Microsoft Office Suite and CMMS platforms.
  • Effective communication and interpersonal skills to interact with internal teams, contractors, and clients.
  • Knowledge of basic maintenance procedures and terminology is desirable.
  • Ability to work independently and collaboratively in a fastpaced environment.
  • A proactive and customerfocused approach to providing excellent service.
