Description

The purpose of the role is to provide comprehensive, high quality and confidential PA and secretarial support to the Ward Manager; to build and manage the Health Roster and carry out administrative duties for the department.

The post holder will work on their own initiative utilising a sound knowledge and understanding of the Trust and the department's objectives and practices and be the principal central coordinating point for a range of business administration activities.

The role will involve developing and maintaining spreadsheets and databases to support the department's information requirements. This will include, the full range of administrative tasks including, but not limited to, filing systems.


To provide an efficient administration and secretarial service to the Ward Manager ensuring all work is prioritised according to the demands of the service.

Acting on an independent basis as required by an experienced Administrator.

To manage rotas for Hickstead Department.

Work with the Ward Manager to ensure that all leave requests comply with the relevant policy and that sufficient cover exists within the department.

Managing the booking of all study and learning needs.


To work autonomously and provide and manage a complete secretarial/administration service, working independently and using own initiative, planning and prioritising the workload for each day.

Collating data for audit and statistical use.

To attend meetings as required to take minutes of meeting, type and distribute as required.

Draft correspondence on behalf of the Manager.

Produce documentation and reports to professional standards at all times.


Provide and receive information electronically, verbally or in writing which may be of a highly confidential, complex and/or sensitive nature and ensure this is communicated appropriately within and outside of the department and organisation.
