    Operations Coordinator

    Location: Greenwich, London

    Working hours: 40 hours per week with some weekend and evening work from time to time

    Job purpose

    The main purpose of this role is to support the delivery of Junior programmes, including accurate stock, ordering and development of new initiatives to increase efficiency and accuracy across all

    campuses.

    Main duties and responsibilities

    Main Responsibilities

    • Develop new materials to help efficiency at centres.
    • Assist the Programme Manager by ensuring accurate lists of existing stock are maintained, and timely ordering completed to replenish missing materials.
    • Liaise closely with clients to write individual programmes and ensure provision is made to deliver programmes to the satisfaction of the client and s to ensure their expectations are met on arrival.
    • Create accurate records of required transportation needs, and work with rail companies and coach companies to ensure all requirements are met in advance of campuses opening.
    • Work with suppliers to establish competitive rates, actively seeking new suppliers to obtain the best rates.
    • Establish and maintain a supplier database.
    • Compile centre specific operational sheets, including catering, facilities, rooming to align with programme requirements and client expectations.
    • Develop a full understanding of Oxford International winter, spring, and summer programmes.
    • While programmes are running, support centre management, especially Student Support Managers, ensure programmes are delivered effectively and to the satisfaction of clients.
    • Assist the Recruitment Manager with operations for staff inductions, including but not limited to; meal provision, rooming, transport/travel card requirements and session planning.
    • Ensure risk assessments, policies and centre procedures are up to date with the support of the Operations Manager and Operations Director.

    Recruitment, Sales Support and Finance

    • Assist in the planning and organisation of staff training days and inductions.
    • Participate in training days as required.
    • Assist in agency visits, fam trips and presentations when required.
    • Ensure invoicing system is maintained, and correct payments are scheduled in coordination with the Operations Director.

    Person specification

    Statutory requirements

    • Eligibility to live and work in the UK
    • Satisfactory Enhanced DBS Disclosure
    • Native or near native level of English speaking and writing.

    Qualifications

    • Undergraduate degree in any discipline
    • CELTYL or YL Extension (Desirable)
    • CELTA. Trinity TESOL and / or QTS in English or a Modern Foreign Language with ELT subsidiary (Desirable)

    Experience and knowledge

    • Experience of working in a residential junior language course setting or similar residential environment
    • A good knowledge and understanding of activity programmes for residential junior language courses
    • Experience of working in a fast-paced, dynamic department
    • Undergraduate degree or equivalent
    • Knowledge of child safeguarding
    • Experience of sports coaching or tour guide
    • Experience of planning events or structured activities

    Skills and abilities

    • Outstanding communication skills, both verbal and written
    • Excellent organisational skills with the ability to prioritise a varied workload
    • An excellent eye for detail and the ability to work accurately and efficiently
    • Ability to prioritise workload, work to deadlines and under pressure
    • A sound knowledge of Microsoft office with good IT skill
    • Ability to function and communicate in a multicultural environment
    • Experience of delivering presentations confidently and effectively
