They are looking for an Admin Assistant to join their growing team based in Putney


Job description - Admin Assistant
This role involves the responsibilities of both an Office Manager and an Account Executive.

The function of the role will be to support the Senior Account Manager and Account Director in all day-to-day activity, ensuring that the office functions smoothly.

Over time, the role will take on more client-facing activity and responsibility for accounts, so we are looking for someone who will be able to learn quickly and step up as they are given increasing responsibility.

You will have an opportunity to make a significant contribution to the agency, and to benefit from its development.

Key responsibilities - Admin Assistant:


  • In this Admin Assistant job, your responsibilities will include:_
Office Management

  • Ordering couriers and ensuring that all deliveries are sent out and received on time
  • Answering switchboard PA duties for the Director Sole responsibility for regularly occurring deliveries
  • Updating spreadsheets to monitor stock levels
  • Processing incoming invoices and updating the database
  • Monitoring petty cash
  • Ordering supplies
  • Keeping the office tidy and organised
  • Greeting visitors and making tea/coffee
Account handling

  • Taking briefs from clients and discussing with the Account team, establishing timeframes for completion of work
  • Briefing designers and programmers as appropriate
  • Dealing with suppliers obtaining quotes, placing orders
  • Drafting quotes for clients
  • Ensuring that all work is completed to deadline and to a high standard
  • Proofreading and checking documents to ensure consistency
  • Writing and sending invoices
  • Maintaining regular and honest communication with clients to make sure that they are looked after well

Job requirements - Admin Assistant

  • A graduate from university, ideally having studied English or a written focused degree
  • Good maths skills
  • Introduction to commercial experience is desirable, such as internships or placements
  • Exceptional communication skills you can find a way of building rapport with everyone and anyone
  • A natural problem solver, with great organisation/time management and the ability to think both critically and creatively
  • A real gogetter and high achiever, with the confidence to work autonomously and get things done
  • Ability to coordinate issues between internal and external clients and internal team
  • A genuine interest in the creative sector and design
