    Supporting with the end to end recruitment process, you will need tohave exceptional customer service skills when dealing with recruiting managersand applicants alike; enjoying being the first point of contact into therecruitment team. You will requireorganisational skills and be computer literate to carry out administrationduties that supports departmental targets under the direction of team leaders and agreed work plans.

    Please note, the working hours per week for this role is 27 hours.

    Main duties of the job

    The successfulcandidate will provide a meet and greet service to the department, takingaccurate messages, responding appropriately, and passing information on in theappropriate manner.

    Candidates willproduce letters using standard templates or adapting as appropriate. Maintaining data quality at all times,ensuring accurate information is recorded onto Trust Electronic Systems.

    Cleansing ofemployee records, scanning relevant documentation on to CITO, the Trustsemployee records system.

    Job responsibilities

  • The job holder will be responsible for ensuring that information is kept up to date and relevant
  • Provide admin and clerical support to the Recruitment Team, including word processing, data input and reports, faxing, photocopying, scanning, opening of mailand typing/processing of documents, along with other general administrative duties as required
  • To deal with telephone and face to face enquiries from members of the public, managers and staff. Provide information and advice to managers, employees and applicants within the boundaries of the role
  • The job holder will provide a meet and greet service to the department.
  • Taking accurate messages, responding appropriately and passing information on in the appropriate manner
  • Cleanse employee records and scan relevant documentation on to CITO, the Trusts employee records system.
  • To carry out tasks as instructed by the Supervisor
  • To be aware of secretarial/administrative policies within own area
  • To be aware of timescales and levels of urgency
  • To assist in making appointments and arranging meetings as required
  • To work closely with the team ensuring that all systems and processes are in place with regard to local procedures
  • Participate in the maintenance of effective office systems
  • With direction and instruction to collect information required for statistical analysis and to collate information for forwarding to the Trust committees. To record and input onto the computer any relevant data as directed by the Supervisor
  • To be actively involved in maintaining data quality at all times, ensuring accurate information is recorded on the Trust Electronic Systems
  • To assist in maintaining adequate supplies of stock items where appropriate
  • To provide cover for colleagues as required and to ensure the continued smooth running of the service
  • Be responsible for own personal development, including attendance at relevant training courses
  • The job holder will undertake personal responsibility with regard to attendance at all identified mandatory training
  • To ensure the work area is appropriate and fit for purpose

    Qualifications

    Essential

  • NVQ1 in administration or equivalent qualification or demonstrable experience.
  • Desirable

  • Word processing skills at RSA 2 standard or equivalent.
  • Experience

    Essential

  • Data input experience.
  • Shows empathy to the client group.
  • Demonstrate a positive attitude towards the implementation of new systems and new ways of working.
  • Ability to cover for colleagues.
  • Desirable

  • Previous experience of working within teams and contact with general public.
  • Previous secretarial experience.
  • Experience in a HR/Recruitment environment.
  • Knowledge and Skills

    Essential

  • Working knowledge of Microsoft Word and Microsoft Outlook.
  • Understands the responsibilities of working with confidential information.
  • Good communication skills, verbal and written with the public and internal contacts at all levels.
  • Can demonstrate attention to detail.
  • Good organisational skills and ability to work under pressure.
  • The ability to prioritise work and meet deadlines with direction from the Team Leader.
