    About This Role

    The Facilities Coordinator supports the whole facility provision to the UK Site. This includes working with various stakeholders, both internal and external. The primary purpose of the role is to provide business support for all site services, such as security services, preventative maintenance programme etc. Mobile provision and management as well as direct support for the provision of P cards, insurances, travel. The role supports the site Health & Safety requirements, ensuring that all sites are aware of H&S commitments, all training is up to date, and that the site is in good shape regarding Health and safety legislation, for both external vendors and internal processes.

    What You will Do

    • Managing Planned Preventative Maintenance (PPM)Vendors to ensure that the building facilities log is actioned. To conduct monthly status/KPI meetings. Ensure the Planned Preventative Maintenance (PMM) tracker is up to date, all planned maintenance has been completed and all legal requirements have been met. Ensure that any Work Permits are issued as appropriate in line with Health and Safety directives.
    • Manage the mobile phone provision for the site. Tracks spend and ensure the contract terms are applied to the Biogen account. Manage the allocation of hardware directly with the vendor, the service provided and life cycle management. Maintain user records are updated for accuracy for reporting to the entire site for cross charging.
    • Supports H&S Safety Audits, manages training schedules, ensures all Work Permits are issued where necessary and the site is fully compliant with Health and Safety UK Legislation. Works with auditors and ensures corrective actions are taken if necessary. Arranges first Aid, Fire wardens, Field staff Advanced driving courses and refresher courses.
    • Conduct Vendor KPI meetings for site services, such as Security Provider/Cleaning Contractor. Work with the vendor to ensure all Biogen Policies are adhered to. Ensuring the Assignment Instructions are valid and reflective of Biogen's needs.
    • Purchase Order and Financial Tracker Management, including invoicing, receipting, and accruing of all Facilities spend. Month End, Year End management.
    • Manage VRM (Vendor Risk Management) process for new vendors.
    • Supporting the on/offboarding of new starter/leavers including Right to Work checks, employee file management, Facilities, health, safety and security training, distribution list management and equipment provision and tracking.

    You are a proactive and experienced professional with relevant experience and a good understanding of Facilities Management. You work effectively in a dynamic cross-functional environment. A collaborative, innovative mindset with robust communication skills and a proven track record in coordinating and providing business support.
