The Position:


As part of the FM Account Management team, your role will be to provide contract support for the National Account Manager.

You will be the escalation point for the clients' representatives, operational team leads, Regional Account Coordinators and Regional Engineering Supervisors; you should be able to act proactively to ensure effective collaboration of departments to achieve consistent level of reporting and oversee the delivery to meet both internal and external commitments.

Essentially you will oversee and co-ordinate the delivery of the day to day running of the contracts to ensure the desired levels are achieved.


Key Responsibilities:


  • Responsible for overseeing the planning, development, prioritisation and implementation of new contracts;
  • Learn and understand all contracts and the specific requirements that need to be met in line with SLA's & KPI's.
- "On-boarding" of supply chain. (Pre-qualification and commercials).

  • Raise & Sign off of Supplier Orders for PPM tasks
  • Sign off Supplier Invoices
  • Setting up of Portal and upload of contract specific documentation.
  • Set up of Annual PPM Planner
  • Set up customer details and contacts into the service desk
  • Manage client logins
  • Provide support and positively respond to both internal and external parties through effective communication and personal accessibility;
  • Review requests including request for change and if deemed beneficial escalate to line manager for review by SLT
  • Manage customer feedback using service desk
  • Organising and attending telephone conferences/meetings and ensuring you are well prepared for the call/meeting.
  • Taking meeting minutes when requested, typing, issuing in a timely manner and chasing actions to completion, analyse if particular sites or regions are under performing.
  • Carry out any reasonable request from the National Account Manager or SLT.
  • Overall Performance Management;
  • Maintain and update the Ascot system tools (e.g., Portals, Planners, Service Desk)
  • Ensure Ascot SLAs are tracked utilising the Service Desk and Portal's.
  • Ensure Contractual SLAs are tracked and reported on (Internally / Client).
  • Complete sample audits to operational system tools that are client facing (e.g., Portals, Planners, Service Desk) and advise operational team leads and Regional Account Coordinators.
  • Maintain an effective working relationship with all operational leads to oversee there is effective coordination of all company activities in support of company objectives.
  • Develop partnerships with key supply partners
  • Collaborate across contracts to ensure best practice is being delivered, identify opportunities for improvement and coordinate approved change.
  • Validate invoicing for GMP & Delegated to the point of raising Sales Orders.
