    Job summary

    The main aspects of the role areto support and facilitate patient access to health care professionals andservices by providing secretarial and administrative support to the practiceensuring that a full range of duties, are carried out in an accurate, efficientmanner and in accordance with practice policy. Providing effectivecommunication across the practice teams and with other organisations to supportpatient care and safety whilst, enabling the practice fulfilment of the GP GMSand enhanced service contracts.

    Applicants will need excellentcustomer service skills be able to maintain a professional attitude towardspatients, colleagues and other healthcare organisations teams and posses good numeracy and literacy skills.

    Discovery practice provides a friendly and supportiveenvironment across our multi-disciplinary team. We provide services forapproximately 8840 patients and we are also part of the Central MiddlesbroughPrimary Care Network. Our Network provides our teams additional support withaccess to a workforce of Health care professionals not normally seen in PrimaryCare. Creating an evolving and innovative Primary Care Service for the benefitof patient and staff wellbeing.

    Main duties of the job

    List is not exhaustive butprovides a indication of the type of support and tasks our Secretarial team undertake:

    Offer a comprehensive range of secretarial services to the practice team

    Production and preparation of patient referrals, medical reports and othercorrespondence.

    Monitor/Maintain e-referral system and referrals process. Ensure timely completion and communication.

    Subject Access Requests documentation preparation and adherence to GDPR and SAR legislation/guidance.

    Effective communication with all external agencies in relation to patient care and advice and guidancerequests via telephone or written.

    Production and processing invoices and payments for both NHS and non-NHSservices provided by the practice.

    Ensuring effective feedback to relevant team members and in designatedtimescales

    Timely and accurate production of minutes of meetings and theirappropriate distribution.

    Coordination and effective communication of MDT and team meetings.

    Data collection in relation to areas of your role/team designatedresponsibility.

    Monitor and provide assistance on rejected referrals, system messages, tasks and updates.

    Complete clinical correspondence filing/coding and uploading following agreed Protocol/pathways associated with this role paying particular attentionto GDPR processes and Data ProtectionPolicy.

    Responsible for own time management, completing tasks within agreedtimescales.

    We are a 3 GP Partner practiceproviding quality health care to a population of approximately 8840 patientsoperating from the Cleveland Health Centre located above the Cleveland CentreShopping Mall.

    Our practice team consists of 3GPs, 3 Advanced Nurse Practitioners, 1 Nurse Practitioner, 2 Practice Nurses, 2Health Care Assistants supported by our team of Reception, Administration,Secretarial and Management members. In addition, we also have our Networkcolleagues of Pharmacists, Physiotherapists, Mental Health Practitioner, SocialPrescribers and Care Coordinators.

    Job Title: Secretary/Administrator

    Responsible to: Partners and Practice Manager

    Offer a comprehensive range of secretarial services to the practiceteam

    Audio and copy typing

    Photocopying, encrypted email/Disc and use of iGPR software tofacilitate SAR requests and other documentation following GDPR and SARlegislation.

    Communication with hospital departments community services and otherexternal agencies

    Produce and processing invoices and payments for both NHS and non-NHSservices provided by the practice

    Ensuring effective feedback to relevant team members and in designatedtimescales

    Assisting with the timely and accurate production of minutes ofmeetings and their appropriate distribution.

    Ensuring Subject Access and Report writing requests are dealt with inthe appropriate timescale, payments received and consent and confidentiality ofthe patient is maintained at all times utilising software packages such asiGPR.

    Entering data such as (referral figures, claims data, demographicsetc), onto databases or other system developed for this purpose when required.

    Monitor and Maintain the e-referral referrals process for the practice.Ensuring referrals are completed within timescales and Advice and Guidancecommunication.

    Monitor and provide assistance on rejected referrals of system messagesand updates.

    Run Monthly searches for PPA claims

    Complete clinical correspondence coding and uploading under agreed Protocol/pathwaysassociated with this role paying particular attention to GDPR processes.

    Ensure practice resilience in supporting practice team with trainingand development for agreed specified areas

    Responsible for own time management, completing tasks within agreedtimescales.

    Dueto the responsibilities of this post being non-exhaustive you will be expected tofully assist in other duties, not listed above, when requested to do so.

    Qualifications

    Essential

  • Maths GCSE D or above or similar qualification
  • English GCSE grade A-D or equivalent qualification
  • RSA clerical or administration qualification (or similar)
  • Good organisational skills
  • Desirable

  • Knowledge of Medical Terminology
  • Knowledge and experience of using a range of databases or patient information systems such as Systemone/EMIS.
