- Maintain and coordinate the executive's calendar, ensuring accurate scheduling of appointments, meetings, and travel arrangements.
- Plan and organize the executive's daily activities, including prioritizing tasks, managing deadlines, and providing timely reminders.
- Arrange international and domestic travel itineraries, including flights, accommodations, ground transportation, and visas.
- Prepare travel expense reports and ensure timely reimbursement.
- Manage incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring timely responses.
- Screen phone calls, prioritize messages, and handle inquiries on behalf of the executive.
- Coordinate and prepare materials for meetings, including agendas, presentations, and reports.
- Attend meetings, take minutes, and distribute meeting summaries as necessary.
- Maintain utmost confidentiality and discretion in handling sensitive information and documents.
- Prepare confidential reports, presentations, and other materials as required.
- Act as a liaison between the executive and internal and external stakeholders, including clients, partners, and colleagues.
- Build and maintain strong professional relationships with key contacts.
- Bachelor's degree in business administration, management, or a related field would be advantageous.
- You will require a minimum of five (5) years solid and continuous experience as an executive assistant or personal assistant to senior-level executives ideally in a large scale/ global corporate environment.
- You will be highly adaptable and possess excellent typing skills (at a minimum of 50 wpm).
- Shorthand desirable but not essential.
- Excellent verbal and written communication skills in English
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Flexibility to adapt to changing priorities and work in a fast-paced environment.
- Familiarity with Saudi Arabian culture, customs, and business practices is not required but may be beneficial.
