    Job summary

    An opportunity to join the Surgical Same Day Emergency Care Unit as a ward clerk . The unit receives patients from multiple sources whose care can be managed without an overnight admission to hospital. The unit is currently open between 8am and 8pm Monday to Saturday, and will eventually be a 7 day service.

    The post holder would need to provide a courteous, efficient and professional ward clerk service, making a valuable contribution to support patient care from the time of admission, transfer or discharge. The successful candidate would be the first contact point for all visitors and members of the multi-professional team so good interpersonal skills are essential.

    We are looking for a well organized, enthusiastic individual to work within our dynamic team. You will need to be able to work flexibly and apply a methodical approach to a varying workload in what can be a fast paced, pressurised environment. You should be self-motivated, have excellent communication skills and have the ability to work on your own as well as part of a busy team where the work can be deadline driven.

    Previous NHS clerical experience is desirable, and administrative and keyboard skills would be an advantage. The successful candidate will need an excellent telephone manner and must be able to deal efficiently with members of the public and all disciplines of hospital staff.     Main duties of the job

    To liaise with patients, relatives and other members of the public, politely and efficiently, ensuring confidentiality and security of patient information as per Trust policy and in line with information governance standards.

    To provide clerical and administrative support to the clinical an nursing staff within the surgical services.

    To ensure the availability of accurate patient records and documentation as per Trust policies and procedures.

    Making appointments on computerised systems in accordance with agreed policies and procedures, filing of notes and inputting data required for audits.

    Use of manual and computerised systems including PAS, Bluespier, Sunrise and Patient First.

    JOB TITLE:WARD CLERK BAND:BAND 2 REPORTS TO:WARD / DEPARTMENT MANAGER ACCOUNTABLE TO:WARD / DEPARTMENT MANAGER / MATRON Working Relationships Internal: Consultants and junior medical staff, Nurse Practitioners, other hospital staff both within the department and outside, other healthcare professionals, medical secretaries, health records staff, PALS. External: GP surgeries, other hospitals, patients and relatives / carers Risk Assessment This post involves handling medical notes and VDU work. Individuals may be exposed to violence and aggression. Job Summary The post holder will provide a comprehensive administrative/receptionist service to the department. This will include making appointments on computerised systems in accordance with agreed policies and procedures, filing of notes and inputting data required for audits. Key Responsibilities Use of manual and computerised systems including PAS, Bluespier, EZ notes, Sunrise to:Maintain and check patient registration details and demographic informationRetrieve patient informationRecord the issue and receipt of records on the PAS case note tracking systemTo check EZ notes and ensure they are available for planned TCIs Maintain patient EZnotes folders by: Filing reports / correspondence / forms etc in an ordered manner, to facilitate the efficient retrieval of such documentation on request.Repairing case notes foldersMaking up new folders, registering patientsOrdering stationary suppliers when requiredInputting date for audits
