ACCOUNTABILITIES
To provide finance-administrative support to Trade Marketing and Distribution (TM&D) department through:

  • Full coordination of TM&D budget planning and tracking
  • Contract management
  • Trade Finance coordination
  • Records Management
  • Administrative support for the department

Budget

  • Coordination of budget planning process for Trade: template preparation, coordination, checking and consolidation, basic understanding of business content behind budget lines
  • TM&D actual spend analysis, comparison vs plan, divergence explanation
  • Accruals, commitmentsmonitoring by departments and projects
  • Managing the budget in BAT systems (SAP, NEO, Coupa etc.)
  • Trade Finance Coordination
  • Coordinate sales team cash and stock discrepancy report
  • Liaising with payroll
  • Record, update, and dispatch sales team banking books

Contract management

  • Supporting the contract management of Trade toolkit resources
  • Full coordination of contract signings for Central office Trade team, e.g. service contracts, creating vendors, raising Purchase Orders, managing invoices & payments for the services provided
  • Manage supplier relations
  • Ensure full selfcompliance of BAT expense guidelines

Records Management

  • Train team on managing company records
  • Provide access to folders
  • Internal/external GDRP compliance

Administrative support

  • Provides support in organization of Trade team events, meetings, logistics, and adhoc activities
  • Provides support with expenses
  • Manage mailing lists
  • Order and dispatch new joiner starterkits and goods to the sales team
  • Assist with inductions, coaching and recruitment
  • Draft and send out team communications

Collaboration with other departments/contacts

  • Liaising with Finance and Trade Finance
  • Answers on Central functions questions/requests
  • Contact with suppliers and others in relation to payments and contract management, as well as organizational tasks

EXPERIENCE, SKILLS, KNOWLEDGE

  • Higher education (economic, finance, accounting preferred)
  • Experienced PC user, Advanced MS Excel user
  • Strong analytical skills
  • Understanding of Business principles and basic elements of Marketing
  • Selforganized, ability to work with mínimal control level
  • Precision and accuracy in work
  • Good communication and influencing skills
  • Ability to work in a fastpaced environment and adapt quickly in an efficient manner
  • Financial discipline
  • Experience handling of confidential information/ records
