The Lewisham Memory Service team administrator (part time) will join a dedicated team providing memory assessments to adults in Lewisham with symptoms suggestive of dementia.

Our administrators provide a crucial role within the team, interacting with clients, carers, GP surgeries and the clinical team to provide a responsive service.

This role will benefit from your sensitive interpersonal skills, as clients requiring our service may be confused or require support to remember their appointments.

The memory service is co-located with several other community mental health teams at our Granville Park clinic.

Administrators from across the teams share responsibility for arranging reception coverage, repairs, and health and safety checks within the clinic.

Our administrators support the team by booking patient appointments, and work proactively to fill cancelled appointment slots. Our administrators communicate regularly with other local dementia services, helping to ensure continuity of care.

Other routine responsibilities include audits, ordering supplies, scanning, minuting meetings (1-2 per month), sending appointment letters, reminder phone calls, staff rostering, audits, health and safety checks, and organising repairs and maintenance as needed.

As part of the administrative team, to provide a comprehensive, efficient and effective secretarial and administrative service to the Lewisham Memory Service which comprises a Team Manager, Consultant Psychiatrist, Psychologist, Assistant Psychologist, Community Nurses, Social Workers and Occupational Therapists and admin staff.

Information/Performance Data
: 1).

As part of the administrative team, to ensure that all Key Performance Indicator (KPI) information is inputted in a timely fashion to ePJS, ensuring Trust data quality targets are maintained.

2.) As part of the administrative team, to provide Insight reports to the team on a regular basis (at least monthly) and review data quality.

3.) To proactively advise team members of gaps in information. 4.) As part of the administrative team, to collate data from team members and from Insight to report to senior management, as required.

Training & Education
: 1.) To ensure that all of your required mandatory training is up to date. 2.) As part of the administrative team to maintain the team training spreadsheet and remind team members of out of date training.

Finances/Budgets
: 1.) Order and distribute stock and non-stock supplies for the team ensuring appropriate use of resources within budget guidelines. 2.) As part of the administrative team, to be responsible for completing the e-Rostering for the team ensuring that this is checked and signed off by the Team Manager.

Health & Safety as part of the administrative team
: 1.) To undertake regular Health & Safety Environmental Audits and Fire Warden checks to the Business Manager. 2.) To be one of the team Fire Wardens. 3.) To escalate Health & Safety issues via the appropriate channels. 4.) To report all maintenance issues and ensure timely completion, chasing if and when required. 5.) To keep a record of all maintenance requests. 6.) To ensure arrangements are in place for the adherence to health and safety legislation and requirements on behalf of the Trust and Integrated Ser
