PURPOSE OF JOB
HMM are a global transportation and liner shipping company.


The jobholder will work closely with the Customer Services / Documentation / Sales teams, Equipment Control/Logistics team and other HMM agencies / departments as required.

They will need a strong understanding of customer services, accounts and related current / future shipping regulations.


Working to deadline within a busy shipping office environment and ensuring export documentation and credit control tasks are performed accurately and within KPI standards.


The post-holder will liaise closely with London & Birmingham Export CSR, GBR Sales, GDC / GSC (India), EHQ Accounts, LGL Transport and GBR Equipment departments plus other internal departments both nationally and overseas as appropriate.


Flexibility is the key and the post holder needs to be able to step in to assist when necessary and may be required to perform tasks not specified above.


MAIN JOB RESPONSBILITIES:


1. Learn and maintain a working knowledge of all Export Documentation and Credit Control tasks


2. Assist with daily credit control and export documentation functions


3. Process and issue export Bills of Lading (B/L) and invoices.


4. Update B/L details for GDC as necessary.


5. Check and finalise vessel manifests, working within set deadlines.


6. Issuance of statements to customers


7. Collecting outstanding monies and ensuring payment within terms.


8. intervening and chasing for overdue funds.


9. Monitoring non-invoiced reports to ensure all valid invoices are issued.


10. Follow-up and response for reports received from EHQ / HQ or management.


11. Monitor KPI's set by management to ensure achieved.


12. Prepare reports are prepared as required for GBR management.


13. Maintain relationship with customers, especially Key Accounts to minimise any problems before the escalate and handle any that do occur in a prompt and professional manner


14. Liaise with internal HMM Departments / LGL (subcontractor) / Sales / Management and pass on any relevant details/feedback accordingly to ensure all staff are briefed and aware


15. Other duties as required.


PERSON SPECIFICATION

[Education and Qualifications]
Good general education, with specific emphasis on numeracy, written and oral skills and computer literacy.

GCSE must include Maths / English, with excellent numeracy. Shipping qualifications are an advantage, as are basic to advanced Excel and optionally PowerPoint.


[Background and Experience]
Background in a global deep-sea carrier environment or similar preferred, especially export documentation or credit control.

Excellent people / communication skills, relevant experience in a shipping line related to Sales and Customer Service supervision.

Leadership; Post holder must be trusted by staff and management.
