    Job summary

    We have a fantastic opportunity for an ethusiastic and experienced Finance Support Officer to join Viaduct Care.

    The post holder will work as part our busy, dynamic and friendly Corporate team here at Viaduct Care with the aim to provide high quality, effective and flexible finance and business information support to the Finance and Business Intelligence functions.

    Main duties of the job

    The principle Finance duties include:

    To provide management accounting support to the organisation, preparing financial information and advice to enable the organisation to operate effectively.

    To reconcile control accounts and to use the financial ledger to analyse variances and correct anomalies.

    Validation and coding of all output from the monthly payroll process to ensure all payments are in accordance with the budgets. Identification and correction of errors to ensure financial data is correct.

    To process invoices for payment, including accurate coding, after ensuring goods and services have been satisfactorily delivered and properly requisitioned.

    The principle Business Intelligence duties include:

    To support the Business Intelligence Manager in the preparation and production of relevant reports.

    To use tools available such as Excel and Tableau to provide information to support to the organisation and in particular to the individual service areas.

    To work on specific projects as agreed with the Business Intelligence Manager.

    To support the Business Intelligence Manager in the administration, production and communication of information to key stakeholders.

    Job responsibilities

    Job Purpose:

    Providing finance and business information support for the delivery of the organisation's finance and business intelligence functions.

    Process and analyse financial information in accordance with the organisations procedure in order to provided information for monthly finance reports.

    Main Duties/Responsibilities

    Finance

  • To provide management accounting support to the organisation, preparing financial information and advice to enable the organisation to operate effectively.
  • To reconcile control accounts and to use the financial ledger to analyse variances and correct anomalies.
  • Validation and coding of all output from the monthly payroll process to ensure all payments are in accordance with the budgets. Identification and correction of errors to ensure financial data is correct.
  • To process invoices for payment, including accurate coding, after ensuring goods and services have been satisfactorily delivered and properly requisitioned.
  • To process payments through Bankline as authorised by the policies of the organisation.
  • To analyse financial variances between budgeted and actual data and identify trends in expenditure.
  • To support the timely completion of monthly and annual accounts.
  • Produce costings to contribute to the formulation of service budgets in the annual budget setting process.
  • To be responsible for setting up new suppliers within the organisations financial management system.
  • To liaise with all stakeholders to help them to obtain relevant financial data and to provide them with basic advice and support as necessary.
  • To support the Finance & Contracts Director in undertaking regular meetings with the service heads/managers, to highlight and discuss any issues on financial data. This will involve checking and auditing data for accuracy and completeness.
  • Write, modify and process appropriate reports, schedules and documents and, if appropriate, print and distribute each financial period to budget holders.
  • Contribute to the completion of annual statutory returns adhering to strict timetables.
  • To assist in the delivery of financial awareness training to all levels of management within services. Informal training will be provided to budget holders and managers in relation to financial issues on an agreed basis.
  • To support the Finance & Contracts Director to identify areas that require improvements and escalate as appropriate, contributing to improving finance data as required.
  • To support the review of the organisations finance and contracting policies and procedures to ensure these remain fit for purpose and accounts for current guidance and legislative requirements.
  • To undertake any other duties of a similar nature consistent with the responsibilities of this post in order to provide quality services within Viaduct Care.
  • Business Intelligence and Information

  • To support the Business Intelligence Manager in the preparation and production of relevant reports.
  • To use tools available such as Excel and Tableau to provide information to support to the organisation and in particular to the individual service areas.
  • To work on specific projects as agreed with the Business Intelligence Manager.
  • To support the Business Intelligence Manager in the administration, production and communication of information to key stakeholders.
  • To help develop a relationship between the Business Intelligence Department and services to develop the use of information.
  • To liaise with all stakeholders to help them obtain relevant data and to provide them with basic statistical advice and support as necessary.
  • To support the Business Intelligence Manager in undertaking regular meetings with the service heads/managers, to highlight and discuss any issues on data quality and performance. This will involve checking and auditing data for accuracy and completeness.
  • To escalate security incidents to the Business Intelligence Manager via the documentation contained within the organisations IT Security policies and procedures.
  • Standard Clauses

    Performance Management

    Objectives for the post will be the subject of overall agreement and regular review between the post-holder and their line manager. An annual performance review will be conducted by the line manager with relevant input from other stakeholders.

    Confidentiality and Compliance with the Data Protection Act 2018

    The post holder must maintain confidentiality regarding information about patients, staff and other Viaduct Care business in accordance with the Data Protection Act 2018.

    All employees of Viaduct Care must not, without prior permission, disclose any information regarding patients or staff. In circumstances where it is known that a member of staff has communicated information to an unauthorised person, those staff will be liable to dismissal. Moreover, the Data Protection Act 2018 also renders an individual liable to prosecution in the event of unauthorised disclosure of information.

    Health and Safety

    All employees must be aware of the responsibilities placed on them under the Health and Safety at Work Act 1974 to ensure that the agreed safety procedures are carried out to maintain a safe working environment for patients, visitors and employees.

    Review and ensure systems are in place for the proactive management of risk registers.

    Infection Control

    All employees of Viaduct Care are required to contribute to the management of infection control and be proactive in awareness raising and prevention.

    Ensure that all guidelines, protocols and procedures undertaken within the service are in line with evidence based practice for infection control.

    Safeguarding

    All employees of Viaduct Care have a responsibility to protect and safeguard vulnerable people (children and adults). They must be aware of child and adult safeguarding procedures and must speak to the Viaduct Care chair in the first instance for further advice. All employees are required to attend safeguarding awareness training and to undertake additional training appropriate to their role.

    Qualifications

    Essential

  • Formal Education to NVQ Level 4 or Certificate of Higher Education level or equivalent or equivalent experience.
  • Desirable

  • AAT or part qualified CCAB/CIMA actively studying for qualification.
  • Experience

  • Minimum of 2 years demonstrable experience in a Finance or Project Support role.
  • Experience of producing high quality and reliable reports.
  • Desirable

  • Demonstrable experience in health service finance or contracting, working with clinicians and managers.
