Expro Group are currently recruiting for an Administration Co-ordinator to join the Subsea Product Line team based in Dyce, Aberdeen.


Overall Purpose of the Job:


Provide high quality support to the VP of Subsea Well Access as well as other members of the department undertaking all relevant administrative tasks, management support and as required secretarial duties.

This will include the compilation of complex monthly reports, presentation material and other supporting documentation, using various types of Microsoft office software, as required.


Key Activities and Accountabilities:


  • Provide administration support to VP of Subsea Well Access and Senior Management including month end reporting and event management.
  • General departmental administration / clerical work in the Subsea (SSPL) department, in accordance with SSPL procedures.
  • Collate information for and prepare PowerPoint presentations, ensuring these are formatted and prepared in a timely manner. These will include the compilation of the 3year Business plan and budget slide packs for board presentations on an annual basis.
  • Liaise with HR in terms of any new starts and leavers whilst ensuring that department inductions are carried out.
  • Process expense claim forms for Senior Management/Directors.
  • Control and implement ordering of stationery, office furniture, PPE and canteen supplies for the department as necessary.
  • Assist with organising businessrelated events and functions; tasks include, but are not limited to, booking and setting up meeting rooms, arranging equipment, documentation and lunches etc as necessary.
  • Organise and coordinate travel arrangements, visas, and medical/vaccination appointments for personnel within the department as required.
  • Book training courses for personnel in the department, maintain record of all training courses and administrate the Learning Management System.
  • Act as the Balance Scorecard Implementation Coordinator for the department.
  • Assist with organising solutions to any facilities issues and improvements.
  • Maintain offshore RWI vessel personnel rota and communicate with offshore operation teams with support from on and offshore management.
  • Complete monthly timesheets and interbase sheets for all RWI vessel offshore personnel.

Job Knowledge and Qualifications:


  • Experience in administrative and clerical procedures, including preparing correspondence and filing.
  • Proficient in Microsoft office (Excel, PowerPoint and Word).
  • Experience of some form of database management system.
  • Qualification in Business Administration preferred but not a critical requirement.
  • Previous experience preferred.
