JOB SUMMARY
To provide comprehensive and professional administrative support to the


CEO:
to include minute taking, diary management and all administration of the business of the Board of Trustees.

This will involve using initiative and experience to progress key tasks and manage day to day business with confidence and discretion.

Arrange, prepare, attend, and minute a quarterly Board Meetings, internal meetings and SLT meetings. There will be on average one meeting per month in the evening.

Key Responsibilities


  • Manage the CEOs calendar, prioritising enquires and requests, troubleshooting any conflicts. Making judgements and recommendations to ensure smooth day to day of the CEO office.
  • Act as first liaison and provide support to the Board of Trustees, arrange and handle all logistics for meeting and events, draft agendas, compile and distribute presentation and meeting attachments and take minutes.
  • Complete a broad range of tasks which support the CEOs ability to lead the organisation effectively, including assisting with special projects, designing and creating documents, reports and presentations.
  • Arranging large scale meetings including organising refreshments, room layout, IT and where necessary travel.
  • Be the first point of contact for the CEO which may require dealing with complex, sensitive and confidential matters.
  • Work closely with the CEO to ensure they are up-to-date with up and coming commitments and responsibilities following up and anticipating needs in advance.
  • Provide a gatekeeper and gateway role, providing a bridge for smooth communication between CEO and staff
  • Completing projects by supporting delegation to others at the request of the CEO
  • Work with team to support and coordinate outreach and networking activities following up on contacts to maintain good relations
  • Support meetings as required to cover annual leave and workload
  • Supporting the CEO with day to day office management and activities
  • Be proactive working with hospice team including the admin team to ensure effective administration across the hospice and arrange and provide cover for absence/holidays
  • Provide support and mentoring for new staff, junior staff and volunteers
  • Work with the CEO to update and review policies and procedures
  • Participating in all statutory training and accessing other training opportunities to develop professional competence.
  • Any other duties which may, from time to time, be required in the interest of the Hospice.
  • Support effective filling, record keeping and risk related documentation
  • Assisting the SLT where required.

Salary:
£25,000.00-£27,600.00 per year
