    Job summary

    Dr R K Arora is a busy, forward thinking GP practice located in the Lyng Centre in West Bromwich

    Due to the rapid growth of the surgery and increasing workload, we are looking for an enthusiastic and IT savvy administrator to join our team. The ideal candidate will have general practice experience, preferably using SystmOne.

    Main duties of the job

    This broad role will involve arange of administrative tasks including registering new patients, assistingwith general patient queries, managing medicalrecords, processing requests for repeat prescriptions as well as dealing withincoming clinical correspondence ensuring it is actioned appropriatelyincluding medical coding where appropriate. However, the main focus at leastinitially, will be contacting patients to book appointments and assisting with our online consultation system and recall process for medication monitoring. We are a digitally minded and forward thinking team so we plan to develop and implement an efficient practice system with the help from the successful candidate.

    Dr R K Arora is a busy GP surgery based in West Bromwich. We serve a very diverse population of around 10,500 patients.

    Our friendly and dynamic team is currently made up of 3 GP partners, 4 salaried GP's, 5 long term locum GP's, a practice manager, an assistant practice manager, 3 practice nurses, 1 HCA, 2 pharmacists, 1 pharmacy technician, 2 medical secretaries, 2 administrators and 6 reception staff.

    Job Summary

  • Run clinical reports on SystmOne and make contact with patients as required
  • Assist with development of efficient systems to book necessary follow up appointments
  • Process incoming clinical correspondence and ensure it is actioned appropriately.
  • Process and issue repeat prescriptions using a computerised clinical system in keeping with the practice protocol
  • Assist with patient recall processes and data quality initiatives.
  • To provide general administrative support to the Practice Team.
  • Process all electronic and paper correspondence coming in to the surgery
  • Filing correspondence to the clinical system
  • Assist with the scanning and work flowing of clinical documents
  • Adding clinical codes and additional information into patient records to reflect the content of clinical correspondence
  • Process and issue repeat prescriptions using a computerised clinical system in keeping with the practice protocol through reference to automated prompts.
  • Request the re-authorisation of repeat prescriptions where necessary in line with the practice protocol.
  • Ensure that prescriptions are sent to the correct pharmacy, making any necessary changes, as nominated by the patient

    Experience

    Essential

  • Experience of working in an administrative role.
  • Good general education including GCSE passes in Maths and English or equivalent.
  • Proficient in IT and willingness to learn new systems.
  • Ability to prioritise workload.
  • Confidence in decision making.
  • Able to work proactively, multi task and use initiative.
  • Excellent communication skills written and verbal.
  • Accuracy and attention to detail.
  • Flexible approach to undertaking a wide variety of tasks
