Key Tasks:
  • The post holder will follow safe systems of work, taking reasonable care of their own health and safety, and that of others.

    Eliminating or reducing risks where practicable by complying with site safety rules and instructions and reporting hazards to management for prompt action.

  • Work with department Team leads to create the weekly schedule of works, once those works are complete ensure all tasks have been closed out correctly in CMMS system.
  • Helpdesk provide a point of contact for work requests from the site, prioritize requests and deploy maintenance team members as needed or schedule for a later attendance.
  • Carry out daily checks on SAP ( computerised maintenance system ) to ensure work orders are closed on time, works are carried out in accordance with the schedule.
  • Contact 3rd party companies as needed, arrange site attendance to cover breakdowns or emergency works.
  • Ensure audit ready at all times carry out selfaudits to ensure compliance and identify gaps, be proactive and suggest solutions.
  • Work with Team Management to identify gaps in hours needed to complete works on any given week and advise on overtime needed.
  • Identify High Risk Works in the schedule and feedback to Team Supervisor as needed.
  • Carry out contractor and team checks when time allows.
  • Provide holiday / sickness cover for Productivity Coordinator as needed.
  • Act professionally at all times with the client, develop and communicate best working practice, adopt a proactive approach and ensure any concerns are dealt with promptly or relayed to line management.
  • Carry out Scheduling works as requested and directed by the Hard Services team Management. Carry out audits / inspections as required to ensure compliance.
  • Maintain a high standard of professionalism at all times. Build relationships with department leads and client to ensure maintenance activities are scheduled, ensure compliance and targets are achieved.
  • Identify gaps in processes and proactively work to find solutions.
  • Ensure all subcontractor personnel are fully inducted to the site before allocating work
  • To be responsive to reasonable requests to work extended weekday and weekend hours when and where required by Hard Services management
  • Must be a good communicator, have experience of working with subcontractors and have the ability to make decisions and control a number of concurrent delegated tasks.
  • Must be flexible and assist the Site Management in any maintenance role as required by the operational needs of the business.

Person Specification:


  • Previous planning role
  • Previous or current work with SAP
  • Have working knowledge and demonstrable skills and experience of CMMS systems, planning / scheduling work
  • Experience of scheduling works
  • Audit involvement
  • Experience of helpdesk roles, point of contact
  • To ensure that all works are scheduled and once complete closed out on the CMMS system.
  • Provide point of contact for site for any reactive works needed.
  • Build relationships within CBRE and the client.
