This is an exciting opportunity to join our Administration team in Diabetes & Endocrinology.

As a Senior Administration Officer you will enjoy working directly with patients to resolve their queries and recognise the importance of first class communication skills to achieve patient satisfaction.

The post holder must be able to communicate sensitively and effectively with a wide range of people including patients, medical staff and colleagues whilst working on a busy reception area.


As part of our commitment to patients and delivery of a world class service for all we have created the UHCW Improvement (UHCWi) System in partnership with the Virginia Mason Institute in Seattle; this involves a structured approach to removing waste and putting the patient first using a lean management system and methodologies.

Our culture and ways of working reflect and embed the practices and methodologies of UHCWi. You are expected, where identified, to attend and complete relevant training and development opportunities to support this. This may include Lean for Leaders, Advanced Lean Training, and the Human Factors Programme, amongst others. Full attendance and completion of identified courses is considered essential and a pre requisite for this post.

To assist with the implementation and maintain an efficient office management system/procedures to enable the Department to optimize their standards of service.


  • Deal with all telephone calls relating to the outpatient appointment system, ensuring all calls are dealt with in a polite, pleasant and professional manner.
  • Support the WISDEM Research team with trust administrative processes and queries.
  • Book new and followup appointments according to the Patient Access policy ensuring that all appointments are made using Direct systems and within waiting time targets.
  • Maintain high quality standards by ensuring that the data entered onto Trust systems is accurate, complete and up to date. Systems include iPM, E-Referrals and CRRS.
  • Obtain confidential information from patients or their relatives and record this on the hospital's computerised system.
  • Supporting team members within department which will require undertaking appropriate training to provide crosscover on a reciprocal basis in the absence of colleagues and providing day to day supervision where required.
  • Ensure that your work area and equipment and left in good working condition on a daily basis
  • Ensure that all Trust wide standards are maintained and monitored to improve the quality and total care to all who come in contact with services provided by University Hospitals Coventry & Warwickshire NHS Trust.
  • Comply with the principles of risk management including health and safety legislation, promoting high standards and acting immediately on hazards or unsafe practices in conjunction with other staff.
