Description
The Porters Lodge is the reception point for visitors to the College and for most enquiries.


The post holder will be part of a team that will provide the highest possible levels of service to all visitors to the Lodge (students, Fellows and others), and that will promote a professional and positive image of the College to everyone who has contactwith the Lodge.

The post holder will also provide professional and efficient security support for the College when required.


Key responsibilities

  • To welcome visitors and ensure that enquiries are dealt with as quickly, efficiently and courteously as possible
  • Asking All Visitors / Contractors to sign in to the site and provide them with a pass
  • To create & provide Visitor Wi-Fi
  • To assist visitors by giving directions to accommodation and function areas, and to provide accurate information to all College members, guests and visitors as required
  • To answer and deal with telephone enquiries in a courteous and helpful manner, and to transfer calls and take/ deliver messages as appropriate.
  • To be conversant with the IT based room management system for which training will be given. To liaise with the Accommodation and Housekeeping offices on room bookings and use, plus the operation of the system. This includes ensuring that students and guestsvacate their rooms in a timely manner
  • To monitor Room and Facilities Bookings Via the College Booking system
  • To be responsible for the management of the College access control system making sure all Staff/Visitors and Contractors have the correct access for where they need to be
  • To make sure that keys are not taken from the Lodge without being added to the key system with an ID card, or a deposit and returned on time. For some keys both a signature and a deposit are required
  • To audit the Key system regularly to make sure there are no outstanding keys.
  • To order taxis as appropriate.

Communications

  • To receive post, sort, scan, record, distribute and despatch internal and external mail
  • To collect, record and distribute the daily newspapers around the site
  • To deliver mail to other Colleges or to the Post Office, as required
  • To receive goods delivered to the Lodge on behalf of all College members informing the intended recipient of the delivery and collection arrangements.
  • To prepare and distribute lists relating to bank mail, parcels and registered post which are ready for collection.
  • Audit all notice boards to make sure they are all in date
Events

  • To be conversant with instructions relating to all events hosted by the College.
  • To monitor events which include licensable activities and report any concerns
  • To assist authorised persons with parking, check that permits have been displayed on vehicles using the staff and visitors' car parks, prevent unauthorised parking in the car parks and other College premises, and report details of unauthorised parking
  • To create Parking Permits
Safety and Security

  • To undertake security patrols covering all buildings within the College curtilage, paying special attention to the car park during busy periods, and to ensure that all doors are locked.
  • To turn away, and report any suspicious or disruptive persons to Security Services in the first instance plus monitor CCTV
  • To pick up any unsightly litter around the College during the patrol.
  • To respond to calls for assistance from all parts of the College
  • To undertake testing of emergency lighting and fire alarms systems across the estate; to inspect fire extinguishers and check first aid box contents.
  • To assist with fire drill practices carried out in College.

Person Specification
**Essential

  • Experience of working in a busy customerfacing role
  • Excellent interpersonal and communication skills (oral and written), including high standard of spoken English
  • Good I.T. skills (including Teams, Word, Excel and databases), or a willingness to learn
  • Good organizational and general office skills
  • Ability to work flexibly and as part of a team to ensure that overall departmental standards of service are maintained
  • High level of accuracy and attention to detail
  • Ability to work without supervision and under pressure
The successful applicant will need to be physically fit because there is a requirement to be able to move about the College site at speed, particularly during an emergency

**Desirable

  • Relevant customer service qualification
  • First Aid qualification
  • Security experience
  • An SIA qualification or experience of managing a licensed premise.
