    Job summary

    Whitwick Road Surgery are seeking a proactive and motivated Practice Manager to join our friendly team who will bring enthusiasm and commitment to the role. Ideally a full time individual, although a 4 day working pattern would be considered.

    Main duties of the job

    The successful candidate will need to work collaboratively with the Partners to develop and implement strategy, be responsible for organisational leadership, successfully deliver against service targets and manage change and improvements both for the organisation and the services we provide. The role requires an ability to work well with all members of the practice team and with external colleagues and organisations. Experience within a primary care or GP setting is desirable.

    We are looking for a confident and resilient individual with excellent communication skills who will ensure the smooth running of the practice, whilst leading the practice team and responding to the diverse and dynamic nature of general practice healthcare. They will be responsible for the financial efficiency of the practice and all aspects of health and safety, HR and Care Quality Commission compliance.

    Job responsibilities

    To manage and coordinate all aspects of practicefunctionality, motivating and managing staff, optimising efficiency andfinancial performance, ensuring the practice achieves its long-term strategicobjectives in a safe and effective working environment. Through innovative waysof working, lead the team in promoting ED&I, SHEF, Quality & CI, Confidentiality,Collaborative Working, Service Delivery, Learning and Development and ensurethe practice complies with CQC regulations.

    Primary Responsibilities

    The following are the core responsibilities of the practicemanager. There may be on occasion, a requirement to carry out other tasks; thiswill be dependent upon factors such as workload and staffing levels.

    The practice manager is responsible for:

    a.Overseeing the strategic direction and day-to-dayoperations of the practice, ensuring staff achieve their primaryresponsibilities

    b.Functional management of all clinical andadministrative staff

    c.Direct line management of the following staff: AssistantPractice Manager, Admin Team Leaders and Administration Staff. HR & Administration management of nursingteam, salaried GPs and ARRS staff (as appropriate via the GP Federation)

    d.Managing the recruitment process for thepractice

    e.Establishing, reviewing and regularly updatingJob Descriptions and Person Specifications

    f.Ensuring all staff have the appropriate level oftraining to enable them to carry out their individual roles andresponsibilities effectively

    g.Leading change and continuous improvementinitiatives

    h.Writing, coordinating, reviewing and updatingall practice policies and procedures including delegating as appropriate to otherpractice staff

    i.Coordinating and lead the compilation ofpractice reports and the practice development plan (PDP)

    j.Developing, implementing and embedding an efficientbusiness resilience plan (BRP)

    k.Managing all financial elements of the practice,including budgets, cashflow, monitoring, reporting and petty cash inconjunction with the partners

    l.Managing contracts for services cleaningand utilities

    m.Ensuring the team reach all practice targetsincluding QOF, PCN DES, IIF and medicine optimisation schemes (supported by theclinical and administrative leads)

    n.Managing all complaints and significant eventseffectively

    o.Coordinating the practice diary, ensuringmeetings are scheduled, recorded and follow-up appropriately

    p.Representing the practice at external meetingsas required including involvement in the Primary Care Network and GP Federation

    q.Marketing the practice appropriately

    r. Ensuringpatient communication is timely and appropriate including the maintenance ofthe practice website, social media platforms and the production of practicenewsletters as required

    s.Maintaining the practice and NHS choiceswebsites

    t.Managing the Patient Participation Group

    u.Ensuring compliance with legislation and dealwith disciplinary issues accordingly

    v.Responsible for ensuring the practice meets CareQuality Commission standards

    w.The management of the premises, including healthand safety aspects such as risk assessments and mandatory training

    x.Managing the practice IT system, delegatingstaff to act as administrators

    y.Ensuring compliance with IT security and InformationGovernance

    z.Ensuring all students are appropriately inductedinto practice systems and processes, liaising with external organisations inrelation to the trainees and overseeing HR administration.

  • Good standard of education with excellent literacy and numeracy skills
