Job Purpose:

The Receptionist is a member of Office & Facilities Manager's team and in this capacity is expected to assist in the day to day running of the reception area at Head Office.


Responsibilities:


  • Maintaining a neat and clean reception area to provide a positive first impression to visitors
  • Answering incoming calls in a professional manner and taking clear and concise messages
  • Greeting visitors and workers professionally and providing knowledgeable assistance
  • Organising drinks and lunch for visitors / meetings
  • Sorting, receiving and distributing mail, correspondence and packages between departments and personnel
  • Assist Office & Facilities team with the ordering of stationary / booking accommodation in the Office & Facilities assistants absence
  • Maintaining building security and health and safety compliance by monitoring sign in/out book
  • Reporting maintenance problems to Office and Facilities Manager for immediate remediation
  • Responsible for organising the parking and boardroom diary at Head Office.
  • Responsible for maintaining the boardroom to a high standard, ensuring Health and Safety sanitising practices are carried out between meetings.
  • Keeping Office Manager informed by reviewing office systems and identifying trends.
  • Assisting the Office & Facilities team with efficient use of accommodation including furniture, cleaning, gardening, maintenance support, archiving, security and telephone systems.
  • Assisting the Office & Facilities team with organising events for the social committee and company days.
  • Maintaining staff noticeboard.
  • Organising archiving, filing, confidential waste and shredding.
  • At all times to comply with the requirements of the Company's administrative & personnel procedures and Health and Safety regulations.

Experience:


  • Experience of working in a Reception or Office Assistant role.
  • Experience in handling a broad range of customers on the telephone, providing high quality customer care and understanding.
  • Experience of working with individuals across departments and liaising with external customers.
  • Experience in organising or managing tasks across a large group of people.

Qualities & Skills:

  • Enthusiastic, committed and a fast learner with previous experience of a busy environment.
  • Computer literate.
  • Good time management skills, solid organisational skills and the ability to prioritise a varied workload.
  • Ability to work on own initiative but understand the importance of working well within the team.
  • Personable with strong communication skills both verbal and written.

Salary:
£18,500.00-£20,500.00 per year
