    Job Description

    We are seeking a skilled Contract Administrator/ Junior Paralegal to join our team in our fast-growing enterprise software company for a fixed term contract (potentially extendable).

    You will be primarily responsible for collecting, scanning, reviewing for the purposes of bifurcating (splitting) and storing customer contracts in the region supporting an IFS project to migrate all IFS sales contracts to a contract management system.

    Contract Search and Bifurcation:

  • Locate customer contracts using a predetermined priority list.
  • Search across databases, email correspondence and physical archives to ensure complete customer contracts are located.
  • Bifurcate contracts to pre-defined contract types and re-name according to naming convention.
  • Save contracts ready for migration.
  • Prioritize contracts based on urgency and importance to the organization's objectives.
  • Document Management and Reporting:

  • Scan located contracts and store them securely on SharePoint site.
  • Maintain well organised record-keeping on a shared spreadsheet.
  • Provide regular updates and reports on contract search progress and findings to your line manager and provide progress updates during project manager calls.
  • Liaison with Key Teams:

  • Collaborate with relevant departments such as legal, sales, and business operations to identify missing contracts and validate the completeness of contract sets where needed.
  • Facilitate meetings to address any discrepancies or uncertainties regarding contract documentation.
  • Qualifications

  • Ability to understand contracts and contract experience
  • Contract management experience or law background desirable but not essential.
  • A "roll-up your sleeves" attitude and self-starter.
  • Good English language skills and French language skills.
  • An analytical mind and good interpretation skills.
  • An excellent degree of professional ethics and integrity.
  • Good organizational, prioritization and time-management skills.
  • Confident communicator with the ability to engage different teams across IFS and work independently.
