    About The Role

    PD&MS Group have a great opportunity for a Business Systems Assistant to join our progressive finance team based in Aberdeen on a full time, employee basis.Role is required for time writing, reporting and reconciliation, commercial administration to ensure client Purchase Orders are promptly and correctly processed and relevant business systems are updated and maintained.Duties

    • Maintain accurate timesheet records for all PD&MS managed personnel
    • Assisting in invoice control activities.Checking vendor invoices against supporting purchase orders, approving or rejecting where required. Vendor interface required.
    • Review of all Company personnel time recording against sign in and sign out books or electronic punch clock and for ensuring corrections to timesheets as applicable
    • Maintenance and update of electronic time writing system and for generating reports, as requested and approved by line supervision only
    • Maintain audit trails scan, photocopy, file and archive as required
    • Taking receipt of, logging and filing of Client purchase orders and/or verbal and/or written instructions to proceed
    • On receipt of project approval from Client however received, the preparation and issue Contract Review
    • On receipt project approval from Client however received, the input of estimated hours into electronic time writing system and update of project control data base with relevant Client approval details and data
    • Responsible for the timely update of time writing system, checking and balancing actual reimbursable hours expended versus the estimated hours
    • On instruction from authorised project management personnel, open and close booking codes as instructed in a timely manner
    • General project technical assistance and administrative duties as directed, and within expected capabilities
    • Assisting with other, general project activities, within capabilities, when requested to do so
    • Assistance in other areas of the Finance department as and when required
    • Responsible for ensuring professional development is maintained and identified competency requirements are undertaken in a timely manner
    • Adherence to the company integrated management system
    About You

    The successful candidate would ideally be educated to Standard Grade Level or equivalent with passes in Mathematics and English with previous experience of Time Writing Systems in a similar role. Candidates must be competent in the use of MS Office, in particular excellent use of Excel, have excellent written and spoken English and have the right to work in the UK.
