Trenchline Utilities have an exciting opportunity available for a highly organised Office Assistant to help with the day to day running of the business.
This is a full-time, permanent, position covering Monday to Friday at our Hailsham depot.
Trenchline Utilities Limited are looking for people who are passionate about administration but also share our passions within the Utility/Construction industry and want to contribute to our continued success.
What the role will involve:
Administrative tasks:
Performing various administrative duties such as filing, data entry, scanning and organising documents.
Reception duties:
Welcoming visitors, answering phone calls, and directing inquiries to the appropriate departments or individuals.
Customer service:
Assisting clients or customers with inquiries, providing information, and addressing their needs.
Scheduling:
Managing calendars and arranging appointments and meetings for employees.
Record Keeping:
Maintaining records, databases, and files, both physical and digital, and ensuring they are up to date.
Filing and organising:
Maintaining filing systems for documents and ensuring information is easily accessible.
Data management:
Entering, updating, and organising data in databases and spreadsheets.
Support for staff:
Assisting colleagues with various tasks, such as photocopying, printing, and distributing materials.
Meeting support:
Attend meetings as required and ensure accurate minutes are produced.
Special projects:
Assisting with special projects and events, which may involve coordination, research, or data analysis.
General office maintenance:
Ensuring the office area is clean, organised, and well-maintained.
Multitasking:
Juggling multiple tasks and priorities while maintaining a high level of organization and attention to detail.
Confidentiality:
Handling sensitive information with discretion and maintaining confidentiality.
Miscellaneous Tasks:
Assisting with any other tasks as required by office management or supervisors.
We are looking for someone who:
Has previous experience in an administration role.
Can work with the full Microsoft office suite, including Excel, Word and Outlook.
Has great attention to detail.
Can work as part of a team but also on your own initiative.
Is a team player with a proactive approach to work.
Takes pride in their work and of the company.
Can demonstrate the highest level of professionalism and customer service.
Will adhere to health and safety requirements at all times.
Has excellent timekeeping.
Can be flexible with working hours when required to get the job done.
Enjoys a varied role.
Is clear of drugs or alcohol when reporting for work. Regular testing takes place, and we have a zero-tolerance policy.
