The Opportunity


The Executive Assistant role will be working autonomously to provide support and assistance to the Executive Leadership Team (ELT) members as confirmed.

The incumbent will be the point person for alleviating any administrative and some operational burden to allow the Executive Leadership Team to focus on the strategic elements of the business.

The role demands absolute discretion, high attention to detail and an understanding of the professionalism to always maintain confidentiality.


The Specifics

  • Manage and Coordinate ELT members diaries engaging directly with each member to understand priorities and approaches.
  • Travel management for nominated members of the ELT always taking a proactive approach.
  • Undertake and complete executive expenses.
  • Taking direction from the Senior Executive Assistant to support in the organisation of investor meetings and roadshows and Board engagement if time zone critical and dependent.
  • Support the Senior Executive Assistant in board related matters and matters related to the CEO office as directed by the Senior Executive Assistant.
  • Support the ELT in key customer activities i.e., content for customer packs and coordinate their SLT as instructed.
  • Be responsive to the internal customer queries within a reasonable timeframe and updating the ELT member at all times.
  • Preparing reports, documents, presentations, spreadsheets and analysing statistics as and when required for the ELT Member
  • Assisting with all admin tasks on behalf of the ELT
  • Event management / ELT Communication i.e., Townhalls in conjunction with key stakeholders
  • Handling confidential matters ensuring confidentiality is maintained at all times.
  • Liaising with key stakeholders
  • Managing internal and external communications on behalf of the ELT.
  • Ad hoc administration duties as assigned by the ELT.

Some important characteristics we are looking for:

  • Proven EA or Senior PA experience and support in a similar role.
  • Advanced Microsoft suite skills
  • Word, Excel, Outlook and PowerPoint
  • Ability to coordinate and multitask this is a Team EA role, reporting and supporting multiple ELT Members.
  • Proficient in taking minutes of meetings and recording actions and managing these as directed and on behalf of the ELT member.
  • Proven experience drafting corporate reports and presentations.
  • A demonstrated ability to anticipate the needs of senior leaders and to work proactively to meet those needs.
  • Understands the complexities of working for the Executive Leadership Team and the coverage required on time zones.
  • Have a proven ability to always maintain absolute confidentially and discretion.
  • High integrity and professionalism to represent the brand of the ELT member.
  • Excellent interpersonal skills to communicate comfortably with senior executives and key stakeholders both internally and externally.
  • A high degree of personal resilience and demonstrated success in building strong relationships and dealing with senior stakeholders.
  • Strong team player to support and respond to the Senior Executive Assistant queries in reference to CEO and Board matters.
