The Job Opportunity


Due to continuous growth, we are looking for an enthusiastic & self-driven Reservations and Operations Executive to join our Summer and Groups department for 2024.


Key responsibilities:


  • Daily communications with the Bayswater sales team, agents and customers abroad in order to answer their queries about our summer camps and yearround group courses, take their bookings, and discuss their programmes/requirements/special requests
  • Create quotes, programmes, information sheets, marketing materials, and educational materials for our groups/students
  • Ensure that the summer and yearround group bookings are booked in, recorded and invoiced correctly; ensure that we provide the programmes, trips and services they require
  • Manage the group bookings using the 'Class' database and the relevant spreadsheets (training will be provided)
  • Produce financial and studentrelated reports relating to summer and yearround groups and enquiries
  • Organise and book the airport transfers, trips and activities for our summer groups/students including booking coaches, taxis, attractions, discos and other activities; keep track of bookings using the relevant spreadsheets; check and process the related invoices
  • Order stock and equipment for our summer camps, take inventory of existing stock and pack the stock ready for dispatch to the centres
  • Create staff training materials and assist with training summer camp staff
  • Communicate with our centre staff about the groups/students and their programmes/requirements
  • Any other tasks related to the department's needs

Knowledge, qualifications and skills:

Essential

  • Excellent organizational skills
  • High level of accuracy and attention to detail
  • Strong communication and interpersonal skills
  • Good IT skills and good working knowledge of Microsoft Excel, Word and Outlook
  • Native level of English
  • Good level of literacy and numeracy
  • Flexible and able to work under pressure
  • Willing to learn new skills
Desirable

  • Strong skills in Microsoft Word, Excel, Outlook, Teams, Publisher, PowerPoint
  • Good knowledge of how to use the 'Class' database
  • Experience of summer camps / summer schools / EFL
  • Experience in doing quotes and managing budgets
  • University degree
