Transport Administrator

  • Solid administration skills
  • Highly computer literate
Administrator required to work at our clients busy offices located in Battle, East Sussex.

This is initially a 6 month fixed term contract with a view to moving to a permanent role following on from the 6 months.


Main duties and responsibilities;

This role will be to provide support to the transport manager in the day-to-day function of this role, you will be assisting with all the fleet management and related documentation.


To ensure that any company vehicles or items of plant machinery are logged, maintained, fit for their purpose and fully insured.


Ensure that all plant machinery operating on site and owned by our client or are hired in has current test certificates and are booked in and booked out.

Assist the transport manager with various administrative tasks.


Plant Machinery

  • Day to day responsibility for the companies large plant machinery
  • Gain knowledge of current plant legislation, construction industry initiatives and site specific requirements.
  • Ensure all plant machinery is logged, has in date inspection certificates and LOLER certification.
  • Book plant machinery in and out for directors and contract managers and arrange transport to and from the site, and that associated costs are charged accordingly.
  • Ensure new and old large plant machinery have trackers and are CESAR tagged.
  • Audit daily checks in conjunction with the health and safety manager and contract manager for site audits.
  • Carry out spot checks when plant machinery is in the yard.
  • Check all plant machinery are working efficiently, cross reference CBL hire listing, check trackers to see if plant machinery us being used and weigh up delivery efficiency.
  • Work towards building and maintaining a small plant register, starting with general small tools and working towards a comprehensive list, created through new purchases, historic information and van checks.
  • Working towards ensuring all plant machinery has in date inspections including calibration, PAT testing and general condition.
  • Ensure regular checks are carried out on H&S audit information.

Maintenance

  • Responsible for all routine and emergency maintenance
  • Arrange with engineer or thirdparty engineer for any statutory checks, servicing, calibration and maintenance.
  • Arrange with directors, contract managers times and locations for maintenance, causing mínimal disruption and replacement vehicles/plant machinery where necessary.
  • Organise any onsite repairs to suit working hours and mínimal disruption.

Insurance

  • Check all large plant machinery is listed for insurance purposes.
  • To assist the transport manager with maintenance/update of insurance details where required.
  • Ensure compliance department are aware of any losses or incidents.

Transport

  • Work in collaboration with the transport manager to plan/allocate lorry activities from various department managers, realising efficient planning, high volume of drops and the short notice of instructions whilst aware of weight and access restraints.
  • To assist with maintenance, servicing, MOT's, breakdowns and maintaining up to date records for the fleet.
  • Arranging for any hired/rental vehicles and offhire when complete.

Other administrative tasks:

- **Ensure all costs are allocated correctly to the correct departments

  • Understand and use of fleetmatics, the companies vehicle monitoring system is used to the best use for the company.
  • General admi and support for the transport department.

  • Computer literate in Office 36
  • A selfstarter with the ability to identify and complete required tasks independently and without direct supervision when required.
  • An understanding of health and safety, environment and quality issues.
  • An understanding of managing fleet vehicles.


This is a busy, challenging and varied role that would suit someone who is dynamic, pro-active, confident at dealing with individual of all levels within an organisation, someone with the ability to prioritise and multi-task their work load and who is able to work calmly whilst under pressure and working towards deadlines.
