Description
School Sixth Form Administrator required for a full time, long term, temporary role in Durham City.

The Role

  • Providing administrative and PA support to the Head and Deputy Head of Sixth Form, with demonstrable competence in SIMs and related data entry / report retrieval
  • Updating Sixth Form course booklet annually and managing the system for Options Online (SIMS).
  • Be available during GCSE results periods for updating course choices and allocations on SIMS
  • Timetabling Y12 and Y13 students into PHE groups, in balanced blocks, and updating timetables in SIMS to reflect this.
  • Maintaining Y12 and Y13 student records including all related filing and archiving (in conjunction with Year Leaders Y9, Y10 and Y11)
  • Undertake responsibility for administrative needs relating to ESFA Student Support Fund, under direction from the account budget holder, including advertising the fund to students via admissions packs and throughout the year, using school procurement system to provide funds to students and recording all spending
  • Contributing to arrangements for Sixth Form events including open evening, parent's evenings and student social and charity fundraising events
  • General administrative duties including word processing, filing, etc.
  • Contributing to indexing, storage and retrieval of a wide variety of school document types using an electronic document management system (EDMS) such as SharePoint
  • Contributing to 6th Form transfer of hard copy systems to electronic format, using systems for converting paper documents to digital format, linked to the EDMS
  • Providing very occasional cover, during emergencies, for absent staff in Main Office during holiday periods where required
  • Financial responsibility including being accountable for small expenditures from an agreed budget or equivalent income
  • Considerable direct responsibility for physical resources involving handling and processing of considerable amounts of manual or computerised information, where care, accuracy, confidentiality and data security are important
  • Contribute to the school's Senior Administrator's Team including occasional production of minutes
  • Responsible for compiling 'Improving Progression' reports requested by Children & Adults Service, DCC relating to the sixth form.
  • Responsibility For Sixth Form Students
  • The role involves considerable direct impact upon the wellbeing of Sixth Form students through;
  • Acting as a first point of contact for post16 students who are often dealing with the competing demand of stepping up to A levels alongside personal issues such as medical and mental health problems, relationships at school and at home, substance abuse and other issues.
  • Acting as a first point of contact to visitors and people telephoning the sixth form office.
  • Remaining informed and aware of all advance notices relating to potential issues for Sixth Form students (e.g. family bereavement) in order to provide appropriate support should the student come to the office
  • Acting as an additional point of contact in the absence of Head or Deputy Head of Sixth Form, providing guidance and support to students without input from a Line Manager where appropriate
  • Undertaking responsibility for any student with whom contact is made including making decisions on correct course of action to take given the student in question and the circumstance. This action might be; referral to Head, Deputy Head of Sixth Form or counsellor or provision of direct and ongoing support
  • Undertaking training relevant to responsibility for students
  • Understanding that the role involves contact with students whom, through their circumstances or behaviour, will be likely to place emotional demands and occasionally significant emotional demands on the postholder
  • Providing detailed and reliable guidance to students on all school and Sixth Form policy and procedure
  • Employing effective coordination skills in order to prioritise competing demands
  • Coordinating and developing specific groups of students involved in planning and delivering Y13 Leaver's Ball event; developing interpersonal and project management skills in students whilst retaining overall control for the event Undertaking sole responsibility for administration of individual timetables for students including amendments and reprints
  • Undertaking sole responsibility for all student record keeping including preparation of admission packs
  • Undertaking responsibility for management and issue of school lockers for Sixth Form students
Hours per week: 3- Mon - Thurs 7.30am to 3.30pm & Fri 7.30am to 3.00pm.

Applicants MUST have recent, relevant experience within an education setting.

Remuneration
£13.41 per hour
