Knowledge Management SpecialistJob Overview:
The Knowledge Management Specialist is a new and evolving role within our organisation, offering the successful candidate a unique opportunity to make the position their own.
This role is central to the creation, management, and evolution of our knowledge management tool, SharePoint.The specialist will be pivotal in identifying opportunities to enhance the capture and management of information and documents, defining and implementing effective ways of working, managing the transition into operational status, and ensuring that SharePoint is utilized to its full potential to support both current and future business needs.
Key Responsibilities:
System Ownership and Administration:
Take ownership and administer critical information and document systems, including SharePoint Online, Office 365, and other relevant platforms
Identify Opportunities:
Proactively identify short-term and long-term opportunities to improve information and document capture and management processes
Change Management:
Define new ways of working and manage the effective transition of these changes into daily operations
Configuration Management:
Ensure that all systems and tools are configured to support both current and future business needs
Reporting and Decision Making:
Utilize Microsoft tools to create reports and develop data-driven decisions
Training and Onboarding:
Develop training programs to educate employees on knowledge management principles and encourage active participation in knowledge sharing. Support onboarding processes by providing new employees with access to relevant knowledge resources and facilitating knowledge transfer sessions.
Quality Assurance:
Establish and enforce quality assurance measures to ensure the accuracy and reliability of information within the knowledge management system.
Monitor user feedback and address issues promptly to continuously improve the knowledge management process.Key Skills:
SharePoint Administration:
In-depth knowledge of SharePoint administration and Configuration
Business Systems:
Understanding of business systems related to knowledge and document management
Document Management:
Expertise in managing documents throughout their lifecycle
Knowledge Management Systems:
Experience with knowledge management systems to capture, distribute, and effectively use information
Emerging Trends:
Awareness of emerging trends in knowledge management and IT
IT Service Management:
Skills in IT service management principles and practices
Information Technology:
Strong foundation in information technology and systems
Problem Solving:
Excellent problem-solving skills with a focus on knowledge management challenges
Qualifications:
Bachelor's degree in information management, Computer Science, or a related field -Desirable not essential.
Proven experience in knowledge management or a similar role.
Strong understanding of SharePoint Online, Office 365, and other document management platforms.
IT support experience -DesirableAbility to train and guide others in the use of knowledge management tools and practices.
Proficient in using Microsoft tools for reporting and analytics.
