Executive Assistant - Film Distribution Company
Our client a Film Distribution company have an exciting opportunity for an Executive Assistant to support the President of the company based in their Central London Offices.
The role will be responsible for providing complete administrative support to the President as well as working in conjunction with the Office Manager to support the smooth running of the London office.
The role requires a collaborative team member with strong communication skills and attention to detail working in fast-paced and varied work environment with agility and flexibility.
Key Responsibilities
- Manage the President's calendar
- Set and organise all internal and external meetings, including invites, agendas, notes, and follow ups
- Coordinate and carefully manage extensive corporate travel and associated meetings, including set visits, flights accommodation and managing all related expense claims and timely reimbursement
- Arrange various company events and outings, including executive and teambased offsite meetings; "allhands" meetings and annual company events
- Support COO and accounts in tracking company budgets and expenses relating to the President including film markets
- Prepare for office visits and inperson meetings ensure all documentation is printed and organised for both the company and external attendees
- Ensure the smooth running of virtual meetings
- Manage companywide subscriptions
- Some personal support to the President may be required, specifically when it impacts the corporate travel / meeting schedule
Key Skills Required
- 12 years' experience in a PA/Admin support role
- Proactive, organised, and energetic selfstarter, able to prioritize and deliver under pressure in a dynamic, fastpaced environment
- Team player with the ability to collaborate on projects as well as work independently
- Strong attention to detail and organisational skills
- Excellent verbal and written communication skills
- Ability to work in central London office 4 days a week
- Understanding that due to the nature of international work and our partnerships in LA, working hours may vary
- Excellent IT proficiency including Microsoft Office 365 (Outlook, Excel, PowerPoint), SharePoint and OneNote
- Ability and willingness to travel as needed
