This position offers an excellent opportunity to support the Centre for Teaching and Learning (CTL) by working as part of its administrative team.

The Centre for Teaching and Learning supports the academic development of teaching and learning in line with institutional priorities for education and in partnership with students and colleagues in academic divisions and professional services.

CTL Administration comprises four members of staff including: the Departmental Administrator; two Programme Administrators; and the CTL Communications Officer.

This role will report to the Departmental Administrator and will work closely with the Director and the Departmental Administrator on a daily basis.

It will suit someone with a positive and proactive attitude who is looking to strengthen their skills as they build a career in administration.


Programme:


  • Proactively manage the annual calendar of administrative work for teaching development programmes; liaising regularly with the Programme Director to anticipate upcoming work, seeking to make improvements in processes, and ensuring that all administrative processes are undertaken in a timely way.
  • Act as the first point of contact relating to programmes for current, former and prospective participants and for programme tutors. Have detailed knowledge of rules and regulations in order to provide accurate advice, and be able to receive, record and communicate sensitive information (e.g. regarding personal circumstances) appropriately.
  • Liaise with outside bodies (e.g. Department for Continuing Education, Advance HE) about the programmes and work closely with the Programme Director to ensure that all communication is clear and timely.
  • Act as secretary to Examination Boards and other programme meetings (scheduling, providing papers, and taking minutes).
  • Prepare data and text about the programmes for reporting to both internal and external audiences.
  • Undertake daytoday administrative duties connected with the programmes, e.g. maintaining and updating records; undertaking admissions procedures; processing submissions of work for assessment; scheduling and organising workshops etc.

Financial administration:


  • Provide support to CTL Administration with all financerelated activities to ensure that the Department manages its resources effectively and to budget. Including procuring goods and services and raising purchase orders.

General and team support:


  • Assist with the organisation of CTL events, for example researching venues, arranging catering, monitoring enrolment and sending out joining instructions.
  • Maintain shared folders and files in SharePoint and update Mosaic webpages and Canvas courses.
  • To undertake other tasks such as the Departmental Administrator might from time to time reasonably require.

Essential selection criteria

  • Excellent organisational and administrative skills.
  • Able to prioritise tasks and work to deadlines.
  • Proven ability to work with a high degree of accuracy and good attention to detail.
  • Good interpersonal skills, with an ability to communicate clearly with academic and administrative staff across the University.
  • Ability to work well as part of a team, as well as work independently, with minimum supervision.
  • Very good standard of numeracy and experience of working with data.
  • Ability to exercise a high degree of responsibility and demonstrable experience of using initiative and judgement in solving problems and contribute to the improvement of processes.
  • Competence in Microsoft Office and data management systems. Ability to learn new IT systems quickly.
  • Educated to GCSE (A-C in Maths and English) or equivalent and previous experience in an administrative role.

Desirable selection criteria

  • Experience of administration of award bearing programmes.
  • Recent experience working with webbased systems (such as content management systems, Virtual Learning Environments).
  • Experience of financial processing.
  • A high level of experience in using Microsoft Excel.
