Purpose Of The Job
To provide a comprehensive and flexible administrative support service to the Head of Projects and Projects team.
Key Responsibilities
- Ensuring business policies and processes are effectively communicated and implemented within the Projects team.
- 2. Ensure the provision of Health and Safe working conditions and that both clients and company health and safety policy and process is effectively implemented across the Business Unit.
- 3. Effectively manage project teams financial commitments, raising POs, billing, and managing financial.
- 4. Develop project review pack.
- 5. Management of all QHSE online reporting (to include Hazards, SmoWP, Audits).
- 6. Completion of Audit Schedule.
- 7. Ensure staffing structures on all contracts are updated when requested.
- 8. Ad hoc event management upon request.
- 9. Working with other Operational managers to ensure the collaborative development of the business, effective team working, and support to colleagues.
- 10. Promoting and maintaining the core Values of CBRE Managed Services.
- 11. Provision of guidance, advice, coaching and support to all other Project Coordinators within the business, where required to deliver best practice selection, training, assessment and recognition/reward.
- 12. Delivering effective business communication through advice, review, and direct contribution to management and team meetings, briefings, consultation forums, correspondence, publicity, monthly and adhoc reporting and other publications, as appropriate.
- 13. Provide a learning environment, and appropriate training and development planning. Ensure basic training needs are delivered, employees are fully competent to undertake their roles, and are able to reach their full future potential whilst updating and managing training matrix.
- 14. To assist with all sales opportunities for the Business Unit. Supporting the Sales Team throughout the sales process.
- 15. Ensure the completion of all Pre-Qualifying Questionnaires for the Business Unit.
- 16. Work with our Subcontractors and Head of Projects to ensure the best price for all sales opportunities
- 17. Support of Mobilisation as and when required.
- 18. Management of O&M files ensuring all documentation is monitored and submitted within 7 days of project completion.

- Accountability to the Head of projects.
- Accountable for daytoday management of Projects financial metrics and administration.
- Accountable for management of all mandatory training of Projects team.

Education
- A Level education or above
Training
- Incumbents must be able to demonstrate a career showing continuous personal development.
