About us:

Student Operations sits within the Student and Registry Services division and is responsible for the student record - its management and quality - as well as the principal functions supporting the student lifecycle (e.g. exams, timetabling, curriculum information). The directorate is also responsible for student statutory reporting to external stakeholders (e.g. HESA, OfS, GMC).


The Student Records team works alongside the Student Lifecycle team, and is responsible for the set up and maintenance of core records in Portico (SITS) that support the student lifecycle.

The team is vital to ensuring that UCL's obligations around its data integrity and management of academic standards are maintained as well as ensuring that programme records, students' diets, and students' achievements are accurately recorded and reported.

The team works closely with faculties and departments to ensure appropriate processes are in place to maintain these records throughout the student lifecycle, ensuring they comply with the regulatory framework.


About the role:

The Student Records and the Student Lifecycle team are busy teams at the heart of UCL's student administration.

An essential part of the team's role is to work closely with faculties and departments to foster a collaborative approach to understand the academic work undertaken in these departments and how this affects the student records throughout their time at UCL.

The teams are success-oriented and enthusiastic in their approach to dealing with high volumes of queries whilst delivering excellent service.


The Senior Student Records Officer will be responsible for co-ordinating the accuracy and completeness of UCL's student records across the student population and across the student lifecycle.

They will act as a key point of contact for students, academic and professional services staff on student records, procedures and regulations, and they will be expected to build and maintain effective working relationships with stakeholders.

The role will involve working with academic departments in raising regulatory and process awareness with a particular focus on Extenuating Circumstances, IOE Pre-Merger and supporting on the delivery of student award documentation.


We are looking for someone with the ability to analyse feedback from stakeholders to suggest, implement and oversee process improvement where required, and to ensure that staff are fully briefed of any changes.

The postholder will deputise for the Student Records Manager in their absence and will be expected to assist them in developing induction and training materials and events for the section.


This role will be maternity cover until 10 June 2025 or the return of the substantive postholder, whichever is the earlier.


About you:


The postholder will also have excellent written and spoken communication skills, together with excellent IT skills, and will be adept at prioritising tasks and organising work effectively to meet deadlines.
