    Virginia Peninsula Community College is a two-year institution of higher education established as a part of a statewide system of community colleges.

    It primarily serves the residents of the cities of Hampton, Newport News, Poquoson, and Williamsburg, and the counties of James City and York.

    The Office of Academic Affairs at Virginia Peninsula Community College is devoted to creating and sustaining educational opportunities and experiences that cultivate adept learners, employees, and community members.

    It assumes a crucial role in bolstering students by delivering diverse services and initiatives designed to elevate their academic achievements.

    The Office of the Associate Vice President for Academic Affairs offers guidance and facilitates coordination among various units within Academic Affairs to advance these pursuits.

    Collaborating closely with other administrative offices, the Office of Academic Affairs strives to elevate the overall excellence of education and reinforce the institution's mission and objectives.

    The Scheduling Specialist is responsible for the scheduling of classes in conjunction with college's instructional divisions by reviewing and verifying schedule input, identifying incomplete information, and assessing possible impact to the overall Schedule of Classes and registration.

    Advises and troubleshoots in the information systems regarding all scheduling matters; coordinates room assignments; monitors scheduling publication deadlines and guidelines; and compiles academic schedule for publication.

    The Scheduling Specialist will work closely with the college's Academic Data and Scheduling Analyst to ensure accurate and timely input of the academic schedule and will also assist the Associate Vice President for Academic Affairs with special projects and other duties.

    Special Assignments
    May be required to perform other duties as assigned.

    May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.


    KSA's/Required Qualifications Required:
    - Familiarity with academic course scheduling.

    • Relevant related work experience
    Knowledge: - Specialized knowledge of course scheduling best practices.- Experience with on-line college catalog systems.- Knowledge of scheduling systems, files and master files, and adult training techniques.- Knowledge of student database management and computer software programs to generate reports and maintain/update records.- Knowledge of academic and data processes, coupled with an understanding of utilizing
    academic scheduling analytics in course schedule development.

    Skills: - Proficient in database software and student information systems.- Proficient in Microsoft Office Suite, such as Excel.- Extensive proficiency in utilizing educational technologies, including but not limited to Peoplesoft, Navigate and Ad Astra.- Effective oral and written communication skills.- Creative & proactive problem-solving skills.- Strong communication and interpersonal skills with the ability to interact and work with individuals at all levels.- Attention to detail with a focus on thoroughness and quality.

    Ability to: - Coordinate and analyze a complex schedule of courses/events utilizing integrated database systems and software applications.- Conduct detailed analysis of class distribution and assist with resolving course scheduling conflicts by programs.- Implement multiple projects simultaneously and perform technical end-user training in data processing and/or programming.- Work independently and to initiate new projects and establish priorities for the completion of work to meet deadlines.- Prioritize work effectively and manage time efficiently, lead change and apply process improvements necessary to adapt in a rapidly changing environment.- Advocate for technology and process improvements, encouraging continual review of office procedures and processes.- Think strategically and critically.- Build and maintain relationships with key stakeholders.- Analyze, interpret, and present data.- Learn new methodologies, technologies, and systems.- Handle confidential information responsibly.- Work independently or in a team environment.- Work without much direct supervision, meet deadlines, and solve problems.- Manage multiple tasks, good organizational skills, time management.- Learn to use other enterprise systems and scheduling technologies used for academic planning.- Work well with diverse groups.
