The Psychology department has undergone an exciting period of growth over the past five years including an increase in the range of courses and opening up a range of interdisciplinary and placement options to students.


With an increasing portfolio and complexity of programmes, we are looking to increase the administrative support for our programmes provision.

This is an opportunity for an enthusiastic and experienced administrator to join a busy Programmes Team.

JOB PURPOSE


The post-holder will provide direct support to the Teaching and Learning Manager and liaise with the Directors of Undergraduate and postgraduate Studies, Director of Student Experience and the Undergraduate and Postgraduate Admissions Tutors in the coordination and delivery of excellent undergraduate provision and student support.

The post-holder will lead and work with the Programmes Team to ensure the delivery an outstanding level of customer service in a student-facing role catering to the needs of the student population in the department.

The post-holder will oversee the marks management, examinations, assessment and degree progress for approximately 1000 students and provide advice to students and staff on a range of issues, including academic progress, academic programme policies, etc.

in order to guide them in making appropriate choices and decisions. In addition, they will need to be able to handle sensitive situations and information with professionalism, confidentiality, and discretion.

The post-holder will work closely with the Teaching and Learning manager and department's Senior Tutors to support students on all aspects of mitigating circumstances administration and be able to advise students and faculty on university and departmental policies.

The post-holder will contribute to the development of strong business practices and organisational change to improve processes. The post requires organisational skills to manage a varied workload.


DUTIES & RESPONSIBILITIES

Student and Programme Administration:

Maintaining an in-depth knowledge of course regulations, module registration, university student records systems and processes.

Oversee the maintenance of accurate and up to date student data in the relevant student databases and systems, in line with University information security policies and Data Protection legislation.

Maintain an up to date knowledge of coursework management systems, acting as a point of contact for staff queries and managing information updates to staff.

Liaise with internal and external staff regarding interdepartmental or collaborative programmes, acting as representative for management committees as required.

Ensure the efficient timetabling of all teaching and teaching-related events, including ensuring robust provision for online and face to face teaching for personal tutors, supervision groups and small group teaching.

Overseeing the day-to-day operation of the Department's modules, including the module registration process, maintenance of the underlying course diets and regulations and ensuring timely and accurate processing of marks and mark entry.

Supporting the programmes officers with management of the departmental intercalated year and exchange programmes, including review and update of related processes and procedures, liaising with faculty and acting as the department liaison for all such students.


Assessment and Exam Boards:


Oversee and ensure accurate and timely marks entry and results communication in line with university timelines, liaising with all staff as required.

Responsible for administration of relevant exam boards, preparation of paperwork, liaising with internal and external examiners and other university teams, taking minutes, managing queries and any other organisational requirements.

Acting as a primary point of reference for queries on university process and regulations.

Co-ordinate the requirements and provision for exams of reasonable adjustments for students within the department, ensuring the provision of locations, invigilators and any additional materials that students may require.

Lead on the preparation of complete and accurate mitigating circumstances information for examination boards dealing with staff and student queries in a sensitive and discrete manner.

Acting as Secretary to the meetings.
Manage and oversee the process for the submission and checking of examination papers, setting appropriate internal deadlines.


Monitoring & Attendance:


Assisting with the review and update of the department student monitoring system and overseeing the attendance monitoring procedures for undergraduate students ensuring that the department meets audit and UKVI requirements.

Oversee and manage the creation of the monitoring schemes for the relevant programmes in line with university policy, disseminating information to staff as required.
